Administrative Assistant - College of Health Professions & College of Urban Education

LOCATION: W.A. Lettinga Campus – Grand Rapids, Michigan

DEPARTMENT: Academics - College of Urban Education & College of Health Professions

TARGET PAY: $16.00 to $19.00/hour

The Role:

Acts as a general assistant to the Dean of the College of Health Professions and the Dean of the College of Urban Education, performing office functions contributing to their objectives and often serves as the initial point of contact for the department. This is a split position working for the deans of both academic colleges. These responsibilities are performed in an ethical manner consistent with the University’s mission, vision, and values which include diversity, equity and inclusion.

You Will:

  • Provide GREAT customer service, anticipating and exceeding the needs of our customers.
  • Assist with annual Title II Assessment report under the supervision of the CUE Dean.
  • Responsible for correspondences regarding STEM and afterschool programs for CUE.
  • Updates CUE student and faculty demographic within CUE Quality Assurance System.
  • Assists with CUE and COHP website updates and revisions as needed.
  • Project lead for Verified Background Check for COHP under the supervision of the Dean.
  • Assist the COHP Dean with Compliance meetings and as a liaison with the Registrar’s office for processing student background information.
  • Oversees yearly revision of both CoUE and COHP handbooks by coordinating submissions, and posting on the website for academic departments.
  • Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
  • Demonstrate and promote the University Cultural Values.
  • Perform other duties as assigned.

Awesome if You Have:

  • High School Diploma required with additional education and/or equivalent relevant work experience required.
  • High level of experience with Adobe products as well as Microsoft Office products, especially Excel.
  • The ability to critically think, piece together information to produce written, oral and verbal communication.
  • An understanding of compliance regarding criminal background checks and drug screening.
  • Intrinsically motivated to complete work.
  • Experience with database management.
  • The ability to plan and execute events, including but not limited to - food requisition, scheduling, location reservations.

  • Your Bachelor’s degree and relevant work experience.
  • Experience with Banner.
  • Previous experience as an executive assistant.
