POSITION: Assistant Registrar

DEPARTMENT: Office of the University Registrar

PRIMARY FUNCTION: Responsible for coordination of graduation and degree conferral functions to support the University Registrar. Uphold the integrity of the University policies and procedures established by the administration and faculty. Primary contact for the National Student Clearinghouse for the University Registrar’s Office. Support the academic vision and mission of the University. Serve as a faculty and student advocate about problem resolution in regards to completion of degree requirements.

REQUIREMENTS:

Bachelor’s Degree required. Masters preferred. Five years of higher education experience, preferred. Organizational and strong analytical skills required. Excellent verbal and written communication skills are necessary. The candidate must possess high integrity and ethics. A positive student success oriented attitude is needed for the position. Flexible hours – occasional evening and Saturday hours.

DUTIES:

  • Responsible for degree conferral process
  • Supervise diploma ordering for completed degrees for student receipt.
  • Responsible for monthly National Student Clearinghouse updates.
  • Responsible for end of term National Student Clearinghouse degree submission.
  • Work with the Academic Technology Specialist to make sure advising sheets in Jenzabar are correct.
  • Work closely with relevant university community members to facilitate successful completion of degree requirements.
  • Supervises part time Graduation Coordinator.
  • Prepare graduation lists and other related academic reports for departments.
  • Responsible for commencement planning with university commencement committee.
  • Assist University Registrar in Policies, Procedures, and coordination of policies and procedures manual
  • Assist students in collaboration with admissions staff and department chairs to reenter the University and complete degree requirements.
  • Coordinates as appropriate with department chairs, staff and faculty members.
  • Supervise change of major and minors and modality changes.
  • Serves on various University committees to represent the University Registrar’s Office
  • Maintain strict confidentiality of all student records and adhere to the requirements FERPA.
  • Other projects and duties as assigned.
