THE POSITION

The Director of Advance is a key member of a core team of professionals responsible for the execution of the Governor’s events. This individual will work with members of senior leadership, the Governor's scheduling team and the security detail to ensure that events are planned successfully and run smoothly. The ideal candidate should be assertive and able to work in rapidly changing environments. A natural problem-solver with the ability to evaluate, create and implement solutions to challenges on the fly, is ideal. The candidate should also be able to prioritize competing demands and handle interacting, both internally and externally, with a variety of people and personalities. Extreme attention to detail is required. Candidate should be comfortable dealing with sensitive information and maintaining constant confidentiality. This position reports directly to the Executive Deputy Chief of Staff and requires frequent travel.


DESCRIPTION OF WORK

No day is the same here in the Governor's Executive Office! Some of the duties will include:

  • Responsible for spearheading the planning and preparation of all Gubernatorial Events by leading logistical calls and walk throughs with staff.
  • Coordinate and oversee logistics for events and meetings with the Director of Scheduling, Deputy Director of Scheduling and other staff.
  • Develop a Governor's Advance training program for select staff members to serve as Advance team members.
  • Collaborate with other departments to ensure accuracy of event briefings, including run of show, arrival and departure timing, and event flow.
  • Travel and coordinate with staff to set up events and ensure event expectations are met.
  • Manage the execution of onsite logistics for all gubernatorial events and meetings providing a readout of follow ups for staff at the conclusion of the event.
  • Manage event ordering and coordinate with Commonwealth Media Services, Office of Digital Strategy, and Office of Communications.
  • Liaise with the Governor’s security detail to ensure coordination of travel and schedules.
  • Work with internal departments to conceptualize Gubernatorial events.
  • Attend meetings and conferences, as needed
Work Schedule and Additional Information:

  • Full-time employment.
  • Work hours are 8:30 am to 5:00 pm, Monday - Friday, with 30-minute lunch. Given the always-on nature of the Governor's Office, work outside 9-5 is expected as needed.
  • Telework: You may have the opportunity to work from home (telework) part-time, when operationally feasible. Days will vary. In order to telework, you must have a securely configured high-speed internet connection. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:
  • Minimum of 5-years of professional experience in an operations, campaign management, advance, or event management role.


Additional Requirements:

  • Ability to manage several tasks and projects at the same time.
  • Excellent written and verbal communication skills.
  • Experience working events and traveling for work.
  • Extreme attention to detail and good follow through on tasks.
  • Proficiency in Google, Mac OS, and Microsoft Office suites.
  • Ability to maintain a high level of confidentiality.
  • You must be able to perform essential job functions.
