In accordance with the Agreement between Organization of School Administrators and Supervisors (OSAS) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.
Position Summary:
The Exceptional Student Education (ESE) Program Associate II (PA II) ensures the District maintains accurate, high quality and timely data pertaining to projects, initiatives, activities and ongoing the monitoring of ESE services and programs. The PA II has a strong technical understanding of how teachers and staff use student information systems and will appropriately arrange data collected in a relevant manner for ESE administrative use, presentations, and reporting to District stakeholders. The PA II will continuously model the District's core values of Students First, Excellence, Integrity, Equity, Service, and Tenacity to promote and sustain a positive climate and culture within the work environment. The PA II will proficiently use a range of technology and databases to create impactful presentations, provide accurate reporting of ESE information, and assist with developing documents for senior leaders. This position will serve as a support for the department's contract and procurement process, assist with ESE project tasks, and ensure accurate record keeping including budget and payroll records. The PA II will assist ESE administration to support staff as it relates to budget reporting, budget development, and budget monitoring. The ideal PA II for the Office of Exceptional Student Education is a professional who recognizes the effect their work approach has on students and educators and cares deeply about system improvement for the District.
Minimum Qualifications:
- Bachelor's degree or higher in a related field; or five years related experience and/or training; or equivalent combination of education and experience
- Experience supporting others through changes and new initiatives
- Outstanding interpersonal communication skills with a customer service-oriented mindset
- Demonstrated proficiency with technology to complete work, familiarity with Office 365 applications required
- Demonstrated organizational skills to collect and report on data, conduct analyses, and propose recommendations for improvements to training and support systems, demonstrating organization and problem-solving skills
- Experience executing multiple projects simultaneously within a data driven accountability environment
- Demonstrated ability to maintain confidentiality and security of sensitive records, including personally identifiable information of students and staff
- Ability to assist with organizing and executing workshops and events with many participants
- Extraordinary attention to detail and professionalism
- Program or project management experience preferred
- Reliable transportation to transport ESE materials to District locations, as needed.
Essential Functions:
- Support the onboarding process for new ESE hires as required.
- Provide general operational support to ESE administrators and Finance Manager(s).
- Collect, compile and report data related to progress made on ESE key performance indicators, and report results to ESE departments and ESE Leadership.
- Engage positively, productively and efficiently with all District and community constituents; maintain professionalism and customer service orientation when facing challenging situations or escalations.
- Collaborate with department supervisors and school-based staff to assist with evaluating, improving and developing processes and procedures to drive team performance and outcomes.
- Serve as a key ESE support contact for DPSCD personnel, parents, and community stakeholders by responding to support inquiries in a timely manner, completely, and accurately over the phone, online, and in person.
- Stay abreast of current and upcoming projects, staffing needs, processes and procedures, and areas in need of immediate attention through close collaboration with ESE Leadership Team.
- Assist with the development and delivery of professional development, including maintaining reference materials and support resources to ensure effective communication and implementation of ESE processes and procedures.
- Assist ESE departments and teams with seeking solutions to technical issues such as locating resources, identifying appropriate contacts when questions arise; assist with using District-established ticketing processes as needed.
- Serve as a liaison among internal DPSCD department contacts (e.g. Human Resources, Finance, Technology, etc.), as well as external contacts (e.g. Wayne RESA) and other relevant entities.
- Actively participate in and support recruitment and hiring for the Office of ESE.
- Actively participate in ESE meetings as requested and required.
- Value, solicit, and integrate the perspectives of others.
- Build and maintain positive, professional relationships with ESE staff and stakeholders to implement the District's strategic plan.
- Transport ESE materials and resources to District locations as needed.
- Assist with maintaining accurate payroll and budget records.
- Perform other duties as assigned by the ESE Assistant Superintendent or designee.
Security Clearance:
Internal Applicants
If you are a current Detroit Public Schools Community District employee, you do not have to submit to a new security clearance, unless your new role requires a different type of criminal background check.
