Executive Assistant to the National Officers


The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world (representing over 67,000 pilots at 39 U.S. and Canadian airlines) seeks an Executive Assistant for our Tysons (McLean), Virginia office. The Executive Assistant to the National Officers provides essential administrative support for the National Officers, serves as the primary point of contact for internal and external contacts regarding their schedules, and is responsible for completing a broad variety of administrative assignments facilitating the National Officers’ ability to lead effectively, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; and, ensuring the effective running of the National Officers' daily schedules and preparing for events on the calendar in a discreet, timely, and efficient manner. They assist the National Officers in performing their roles of governance and policy development, liaising with ALPA members, and supporting and coordinating activities associated with numerous government and non-government agencies, airlines, associations, and Association offices. Through their work for the National Officers, they support the smooth functioning of the President’s Office and the successful implementation of Association strategy and goals. They also provide the expertise and support needed during National Officer transitions, seamlessly adapting to new teams, expectations for support, and personal preferences. Success in this position requires the ability to manage the big picture while also keeping track of the details in a professional manner, working on a one-to-one basis on a variety of tasks related to the officers’ working life and communication, in coordination with your team member, as needed.


Travel: 2 - 5%.

Minimum Requirements:

  • High school diploma or equivalent combination of education and experience, with at least two years of college preferred; or, the equivalent combination of education and experience. Aviation and/or advocacy organization strongly preferred.
  • Four (4) years related experience required, six (6) or more years in a high-level administrative position strongly preferred.
  • Solid interpersonal and communication skills, oral and written, for effective interaction with all levels of contacts, internal and external.
  • Comprehensive understanding of the role and purpose of the Association strongly preferred.
  • Keen attention to detail while working in a constantly changing environment.
  • Accurate proofreading required.
  • Must be a self-starter with the ability to work independently, without close supervision, and provide appropriate solutions to various issues as they arise.
  • Demonstrated ability to work as an integral part of a team.
  • Software: Microsoft Word, Outlook, Excel, PowerPoint, and SharePoint required.
  • Able to work flexible schedule on short notice as needed.

Regularly required to sit, stand, bend, reach, and move about the office and the local metropolitan area. May also include occasional bending, stooping, squatting, and/or pushing and pulling or moving, e.g., to pack, unpack, and/or move cases.


Occasionally required to move, raise, reach, and/or retrieve binders, boxes, and files up to ten (10) pounds (lbs.). Sporadically and/or while on travel, could be responsible to move, raise, reach, and/or retrieve luggage and/or boxes weighing as much as 50 lbs. (Assistance may not always be available.)
