Summary of Position:

The primary function of the office manager is to manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image. The office manager is responsible for running the day-to-day operations of the facility.

Duties & Responsibilities:

  • Answer and direct calls.
  • Order all offices supplies, drinks and snacks
  • Receive all deliveries and direct to the proper place.
  • Maintain and keep track of all contracts that pertain to the office equipment. Assist with the purchase and or selection of these products to include: copiers, fax machines, water dispensers, etc.
  • Be the go-to person for any office concerns, problems, and building maintenance issues. Contact building superintendent or other qualified persons for solutions
  • Maintain Archiving system and arrange for box transport to storage area. Have records shredded at the proper time after contacting person whose records are being stored. Assist with retrieving boxes as requested.
  • Keep company directory current
  • Provide administrative support for Accounting and Talent Management groups.
  • Assist with ordering lunches for meetings
  • Assist with content for the new Company Intranet

Other Competencies:

  • Ability to self-manage, show initiative and be proactive
  • Communicate professionally, both verbally and in writing to coworkers and customers

Basic Qualifications:

  • Bachelor’s Degree preferred
  • Minimum of 3 years of related work experience
  • Strong Microsoft office skills
  • Strong hospitality skills

Physical Demands:

  • Must be able to remain in stationary position 70% Occasionally, will move about inside the office to access files, office machinery, etc.
  • Must be able to operate basic office machinery
  • Must be able to communicate with team and management and be able to exchange accurate information in these situations.
  • Constantly working in office environment

Mental Demands:

  • Must be able to problem solve and prioritize tasks
  • Must be able to manage stress depending on tasks
  • Must be able to multitask
  • Must be able to receive and analyze office information
  • Must be able to quickly communicate solutions if problems occur
  • Must be able to demonstrate a high degree of sound judgement
