LOCATION: Northern Service Center in West Saint Paul

This position will provide a variety of office services.
- High school graduate or equivalent (G.E.D.) AND
- One year of specialized/technical office support training OR
- One year of office support experience
- The ability to type up to a minimum of 30 words per minute
- Two years of office support experience
DUTIES & RESPONSIBILITIES:
These examples do not include all possible tasks in this work and do not limit the assignment of related tasks in any position of this classification. Regular attendance according to the position's management approved work schedule is required for all positions.
Provides office support to a unit, department, division, committee, etc.- Processes & prepares incoming and outgoing mail, including delivering and gathering mail to and from other departments, photocopies, faxes & distributes documents.
- Provides packet support including photocopying documents, organizing documents, and compiling documents to create packets.
- Utilize Electronic Data Management system by scanning, indexing, reviewing, and distributing documents.
- Prepares documents for scanning including organizing, removing staples/paperclips, adding pages to 8 x 11 paper to load correctly into scanner, etc.
- Assists with outgoing bulk mailings including copying, printing, folding, and stuffing envelopes.
- Performs record management by maintaining department files by preparing, organizing, and purging, following retention & destruction schedules.
- Assists/provides input to develop internal work methods and establish new procedures.
- Other duties as assigned.
DEMONSTRATES AT START OF EMPLOYMENT
Knowledge of English, grammar, punctuation, and spelling.- Ability to work effectively with the public, department, and County associates in a professional manner.
- Ability to organize work efficiently and effectively.
- Ability to handle multiple tasks and adapt to frequently changing work priorities and demands.
- Knowledge of general office procedures, practices, and equipment.
- Effective communication, both verbal and written skills.
- Ability to operate a multifunction printer, personal computer equipment, and software including Microsoft Office.
- Ability to operate phone or switchboard systems.
WORK ENVIRONMENT: Work is performed within a County office building. Travel is required for some positions. Sedentary or light physical requirements including lifting requirement of up to 20 pounds on an occasional basis. Frequent wrist and finger manipulation may occur due to high concentration of filing, calculating or computer work. Equipment used may include, but is not limited to computer, printer, scanner, calculator, telephone, copy and fax machine, mail meter machine, small automatic office equipment, and stepladder.
