Youth Program Assistant

The Program Assistant provides overall operational and administrative support to the youth empowerment programs. The program’s mission is to assist children and teens by providing structure in a loving environment to help them overcome academic challenges and to help prepare and empower them for the future. This includes providing homework assistance; ensuring the volunteers and the program participants have the materials, supplies, and tools at hand; tracking attendance and hours; assisting with planning and organizing for the summer Teen Empowerment Camp and supporting youth-focused celebrations and events. Reporting to the Director of Youth Programs, this position also provides general administrative support and help to the other functions in Laurel Civic, e.g., food distributions and fundraising events. The Program Assistant must have knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level. The Program Assistant is responsible for maintaining data in applicable systems and managing data throughout various systems accurately and efficiently.

Responsibilities
  • Schedule and organize appointments with prospective students and their families.
  • Work with parents to discuss concerns or questions, then escalate (as needed) those issues to the
appropriate staff member.
  • Recruiting and working with volunteers on and off-site, and program development.
  • Utilize program databases (Trax’s) to update and report on data and outcomes.
  • Assist with the collection of and maintain program data, aggregate data, and create reports related to
program outcomes, trends, budget, needs, and services.
  • Assist with referrals, intake, and coordination of children referred for services.
  • Assist with content management for the website, social media, and other marketing channels.
  • Facilitate client surveys, family stories & testimonials for program reporting.
  • Oversee the collection of annual membership fees through current attendance and tracking system
software and generate reports for the director. Review reports for accuracy and completeness.
  • Coordinate and schedule wait lists, rolls, and group services, including reminders and scheduling with
parents.
  • Work on the frontline with the students, along with the Program Director, teachers, and volunteers.
  • Perform administrative tasks such as photocopying, scanning, mailing, organizing, and filing tasks.
  • Perform reception duties (greeting visitors, answering phones).
  • Ensure general workspaces are kept organized, clean, and sanitized, to maintain a healthy environment.
  • Lead Special Projects as assigned.
  • Other Duties as Assigned

Qualifications
  • A passion for the Laurel Civic Association’s mission, vision, and values.
  • Bachelor’s Degree in a related field, Master’s a plus.
  • Bi-lingual Spanish preferred.
  • 1-3 years of administrative experience.
  • Demonstrated data entry skills.
  • Working knowledge of Office 365, e.g., Word, Excel, and PowerPoint.
  • Strong verbal and written communication skills.
  • A very strong and dependable work ethic.
  • Demonstrated abilities to work well with children, with patience and empathy.
  • Can multi-task in a fast-paced environment.

Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
