Position
Overview

The Scale Associate/Office Manager communicates with customers and customer vendors to enter orders and produce tickets at the point of sale. This role supports plant operations as needed. These duties include but are not limited to the daily management of the office functions.


Roles and
Responsibilities

(Essential Duties and Functions)

  • Understand and comply with Tilcon New York, Inc. and CRH procedures, policies, and processes.
  • Enter FOB orders at the point of sale accurately.
  • Verify that material, truck number and destination of material are accurate for Tilcon NY delivered orders.
  • Verify that tickets are signed.
  • Dispatch trucks using the daily schedule.
  • Work with material order associates and communicate schedule discrepancies and no shows.
  • Update empty weight of trucks as required.
  • Produce point of sale reports as directed.
  • Daily preparation of tickets, checks, credit card slips and cash receipts for Accounts Receivable Department.
  • Time sheet entry
  • Record and enter daily payroll.
  • Update all equipment usage and work order requests into the CMMS & Infield program.
  • Type, distribute, and collect job postings for all NY plants.
  • Compile weekly overtime hours and dollar amount.
  • Maintain records on vacations, holidays, floating holidays and FMLA.
  • Prepare all vacation lists for foremen to ensure proper work replacements.
  • Maintain records for hourly employees' vacation for year-end pay.
  • Assist employees with mortgage and loan requests, employment verifications and wage requests.
  • Maintain professional demeanor in dealing with critical/confidential information; restricts discussion/knowledge of activity to a "need to know" basis.
  • Maintain plant seniority rosters.
  • Maintain personnel files for hourly and employees, office files, and medical files.
  • Type warning letters and other correspondence for foremen
  • Assist Foreman in purchasing/acquiring services and products either by phone, email and filling out the corresponding purchase request for the Purchasing Department.
  • Notifying corporate, neighbors and local municipalities about impending plant blasts.
  • Daily entry of truck sales and production - Report daily to the main office on production and sales.
  • Answer phones and greet visitors.
  • Perform Site Specific Hazard Awareness Training and keep a record for MSHA.
  • Excellent communication and customer service skills.
  • Maintain all office equipment.
  • Comply with all environmental, health, safety and training policies, procedures, and requirements.
  • Wear a hardhat, safety glasses, steel-toed footwear, gloves, hearing protection and respirator as needed.
  • Regular and timely attendance is required.
  • Additional duties as assigned or required.


Marginal Duties and Functions

  • Assists other departments as requested or assigned Drill and blast support as needed.


Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.


Education/Experience Required

  • High School Diploma or its equivalent plus at least 6 months' experience in clerical work.
  • Any equivalent combination of experience and training that provides the preferred knowledge, skills, and abilities.
  • NY Weighmaster License (upon completion of training)
  • Computer literate (Microsoft Office). Some minor troubleshooting.
  • Experience in customer service and end of day reconciliation.


Preferred

  • Associate or bachelor’s degree.
  • High level of proficiency with all Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.


Work Requirements

  • Strict adherence to safety requirements and company procedures as outlined in the Employee Handbook.
  • Must be able to work with and have a general understanding of all departments and facilities in Tilcon New York Inc.
  • Must work scale hours Monday through Friday and willing to work overtime and weekends when required. Ability to work flexible hours, including weekends, Holidays, and overtime as required.
  • Must be willing to travel and work away from home when required.
  • Display a professional and courteous attitude to co-workers, supervisors, and public at all times.


Knowledge/Skill Requirements

  • Work in a team environment and assist co-workers and supervisors/managers with other duties as required. Must provide excellent customer service by phone; scheduling and organizing large numbers of people and equipment efficiently and quickly.
  • Handle multiple tasks concurrently and perform under pressure.
  • Working knowledge of English and Math, office practices and procedures
  • Ability to maintain records and files.
  • Ability to carry out simple oral and written instructions and deal with simple problems.
  • Ability to deal effectively with questions or problems, seeking assistance when needed.
  • Excellent organizational skills.
  • Must be able work independently in a fast-paced environment.
  • Should be assertive, self-motivated and be able to multi-task.
  • Ability to communicate effectively with and work well with other personnel.
  • Must be computer literate.
