Purpose and Importance of Position
Reporting directly to the Manager of Shared Services, this job provides administrative support and assistance, and acts as a liaison between the department and the rest of the organization, while demonstrating alignment with RiverStone Commitments.
Essential Functions
Answers telephones and routing callers to appropriate department/party- Helps maintain corporate security by issuing, checking and collecting badges and maintaining visitor logs
- Assisting colleagues with administrative tasks, including copying, mailings and electronic record routing
- Create and manage both digital and hardcopy filing systems
- Triages, digitizes and distributes incoming physical and electronic mail for the organization.
- Stores and manages all documents, files and records (physical and electric) on behalf of RiverStone and directs and manages all outside vendors providing such document storage and maintenance services to RiverStone.
- Researches, locates and distributes documents, files and records (physical and electric) in response to requests from RiverStone associates including specifically requests for insurance policies or insurance information.
- Performs general support functions including daily filing, package distribution, scanning and photocopying as needed.
- Performs floor maintenance tasks, ordering and replenishment of office supplies and fulfilling of special supply requests.
- Assists with the processing of invoices into bill payment systems.
- Assists with special projects as assigned.

Experience
3-5 years business experience, preferably in an operations or administrative support function. Experience working in a fast paced environment.
Required Education
High School diploma or the equivalent.
Preferred Education or Certification
Associates degree preferred.

Minimal to none, based upon business need.
Work Environment / Physical Demands
This position operates in a professional cubicle based collaborative environment and must have the ability to timely produce thorough, accurate work with many competing demands, deadlines, and distractions. The position uses standard equipment such as phones, computers, copiers/printers and filing cabinets. Noise level is moderate. While this is a largely sedentary role, the employee is regularly required to talk or hear; stand; walk; bend; use hands to handle or feel; and reach with hands and arms. On occasion the individual must be able to lift and transport boxes weighing up to 30 pounds.
