Our client is actively seeking a talented Technical Services Assistant to work at their location in Houston, Texas. This is a 12-month contract assignment with the possibility of extension.
Job Overview:
Provide advanced administrative and information management support in the assigned organization.
Key Responsibilities:
- Perform highly skilled and confidential administrative functions requiring a strong working knowledge of policies, financial and budgeting practices, corporate information systems, and departmental procedures
- Prepare regular and ad hoc reports as requested by the assigned work director that require the selection, accumulation, and compilation of data, records and other information from multiple sources; review a wide variety of reports for accuracy proper format; assure corrections are implemented
- Use SAP to input or retrieve data for regular reporting or for specific Management requests; maintain a strong working knowledge of SAP Financial, Contracting, or other modules
- Develop and maintains hard copy and electronic filing systems, in accordance with company retention policies, to organize data and records and assure accurate, timely retrieval
- Relieve the Department Manager and other professional personnel of administrative duties and maintains status of various divisional projects, special assignment and overall objectives
- Provide secretarial and other support services, including timekeeping, scheduling meetings, maintaining appoint calendars, and answering phones, as directed
- Perform other related duties as assigned
- Assist team members in mobilization to Houston office, hotel/apartment booking and viewing, school registration.
- Provide advanced administrative and information management support in the assigned organization
- Perform computer functions such as preparing and printing reports, developing presentations, graphing, and generally arranging data in electronic formats using databases, spreadsheets, word processors, etc. (such as in MS Office) at an advanced skill level
- Use various Company systems used within the assigned organization to enter and retrieve information. Examples are VIS-OE, ITS, SOC, SOL, PATIS, MIS, SAMS, on CD, VSMF, ASTM, ASME, and other industry standards, various Company sponsored forms, newsletters, etc.
- Operate general hardware/software tools used to communicate, store and transfer data such as CD ROM’s, printers, E-mail, faxes, modems, file transfer programs, Bernoulli’s, tape drives, scanners, compression programs, etc.; also ensure equipment is functional and properly maintained
- Perform other duties as assigned
- Assist team members in mobilization to Houston office, hotel/apartment booking and viewing, school registration.
Requirements:
- High school diploma required; additional formal education is preferred, e.g., one or more years or college
- Eight (8) years of technical, secretarial, or administrative experience required
- Must be able to communicate and comprehend logically, accurately and concisely in English at a level required to perform the job as outlined
- Must possess good work habits, a strong work ethic, must adhere to company work hours, policies, and standard business etiquette
- Proficient with advanced word processing, spread sheet, and database functions in the Windows environment; able to perform special functions such as creating complex queries, macros, forms, graphs, reports, presentations, etc.; able to present information logically and to provide training to co-workers as required
- Must have the capability to utilize standard and specialized work tools with minimal direct supervision
- Must have the capability to develop additional specialized tools as needed to assist and support management and professional staff in the area assigned
- High level of familiarity with various Company information systems used and work processes within the assigned organization preferred
