Accounting Clerk / Bookkeeper

A.B. Systems, Inc. is a design/build commercial construction company headquartered in Rochester, Minnesota since 1972. Our specialty in one-stop shop for all of our customers’ building needs. Design/build is the most effective way to build high quality buildings, combining form, function, and cost effectiveness without sacrificing quality. We have worked with notable companies such as Viracon, McNeilus Steel, Alumacraft, Wells Fargo, Hormel, Pepsi-Cola, Fed-Ex, Rochester Medical, Halcon, West Bank, and Tom Kadlec Honda. We are an employee owned (ESOP) dedicated to the success of our client partners.

Along with a team of Architectural Drafters, Architectural Designers, 3D Modelers, and an On-Staff Architect, and we partner with the best civil, structural, mechanical, plumbing, and electrical engineers. During construction, we have our own steel erection, carpentry, and roofing crews, and partner with expert sub-contractors, while overseeing all divisions of the project as the general contractor. A.B. Systems is growing and needs exceptionally quality minded candidates.

This position is responsible for the day-to-day accounting functions including but not limited to:

A/P, A/R, Billing, Payroll, Contract Management, Cash Management, Job cost Purchase Orders and change Orders.

KNOWLEDGE, SKILLS AND ABLITIES:

1. Knowledge of basic accounting principals.

2. Knowledge of basic fiancé and tax issues.

3. Knowledge of payroll process and related systems.

4. Have computer and relevant software skills.

5. Have basic math skills.

6. Have strong organizational skills.

7. Have ability to organize and prioritize heavy workloads.

8. Have ability to show flexibility and to successfully deal with interruptions.

9. Have the ability to communicate effectively in both written and oral form.

10. Have the ability to see for the purpose of performing finance work on a frequent and regular basis.

11. Have the ability to hear for the purpose of telephone communications on a frequent and regular basis.

12. Have the ability to use wrist/finger action for the purpose of using the computer, 10-key and other office equipment on a frequent and regular basis.

KEY RESPONSIBLITIES:

A. Payroll

a. Generate both field and office staff payrolls

b. Process all payroll tax deposits

c. Prepare all employment tax returns on government website (including quarterly, annual, state and federal)

B. Accounts Receivable

a. Record all invoices

b. Maintain Aging Schedule

c. Process all payments and related deposits

C. Accounts Payable

a. Circulate open invoice report for approval for payment

b. Process and mail all payments

D. General Ledger

a. Generate management reports (including job cost runs)

b. Reconcile trial balance monthly

c. Financial Statements

E. Cash Management

a. Reconcile bank accounts

b. Transfer monies

F. Audits

a. Generate supporting documents

b. Prepare documentation for annual ESOP valuation and 401K Testing per

c. Work Comp Audit

d. General Liability Audit

G. Workers Compensation

a. Complete First Report of Injuries

b. Provide information for OSHA 200 log

H. Personnel

a. Enter and maintain Personnel Files

b. Fill out absence reports for staff

c. Provide semi-annual vacation reports to employees and summary to managers and COO

d. Administration of Employee Benefits

I. Purchase/Change Orders

a. Prepare purchase orders and changes orders and needed.

b. Vendor Buy Out Sheet (2nd page)

J. Billing/Contract Management

a. Invoices

b. Changes Orders

c. Back-up reports (Sworn Construction Statement)

K. Customer Relations- Secondary to Secretary

a. Telephone and front counter communications

L. Clerical

a. Order Postage

b. Maintain petty cash

c. Manage Company clothing order

d. Type internal office schedule

QUALIFICATIONS:

Desired Experience and Education:

Requires a minimum of a 2-year degree in accounting and office administration or 3 years of experience.

Job Type: Full-time

Pay: $20.00 - $26.00 per hour
