Job description

  • Prepares payment authorizations. Insures that all purchase order payment forms and signatures are in order, and presents to Assistant Treasurer for review and signatures
  • Inputs payment authorizations to purchase order system using a personal computer terminal
  • Prepares necessary paperwork for purchase order changes. Obtains necessary signatures
  • Answers phones for the Accounting and Accounts Payable area
  • Communicates by phone and letter, and occasionally in person, with vendors and other departments regarding discrepancies in payments, invoices, receiving copies, etc
  • Maintains filing systems in accordance with current procedures; processes incoming mail, and matches invoices, and receiving documents, with correct purchase orders
  • Reviews pending purchase order file, and prepares lists of aging and past due P.O.’s with explanations, as requested
  • Locates vendor numbers, assists in assigning vendor numbers, and vendor file updates and maintenance activities
  • May assist in making daily bank deposits
  • May type letters and memos for the Accounting and Accounts Payable staff, using a personal computer and word processing software
  • Performs other related duties as assigned
  • Implements correct procedures for proper disbursement of funds
  • Maintains confidentiality of vendor cost information
  • Other duties as assigned


Knowledge, Skills & Abilities

  • Skill in operation of 10-key calculator, and computer keyboard
  • Knowledge of accounts payable procedures, office procedures, filing systems, and effective communication techniques
  • Ability to type 35 wpm with high degree of accuracy, and complete 10-key test with minimal errors
  • Adhere to standard operating procedures, and follow directions
  • Maintain office records in an organized, easily accessible manner
