The Prince George's County Government Office of Sheriff is seeking qualified applicants to fill an Administrative Aide 4Z position, grade Z19, within its Bureau of Court Services Division.

About the Position:
This is a senior-level administrative/secretarial role, whereby the incumbent supports and relieves the Bureau Chief, Deputy Chief, and other supervisory personnel of daily administrative activities and ensures the smooth operation of the Division. The incumbent will be evaluated on accuracy, completeness, timeliness, and compliance with established guidelines and procedures. Work may be complex and will require the incumbent to perform a variety of advanced secretarial, administrative and office management tasks. The Incumbent must be knowledgeable of administrative procedures and exercise mature judgment in following through on work assignments.

Examples of Work

What You'll Do:

  • Responsible for the use of modern office practices knowledge, procedures and methods, ensures letters, reports, memorandums, etc., are composed, prepared, accurate and completed prior to deadlines fulfilling the administrative responsibilities and details.
  • Takes minutes at meetings, types and distributes them to participants.
  • Provides advice/counsel to Bureau Chief in identifying agency goals.
  • Responsible for typing highly sensitive and confidential material and disseminating information to appropriate personnel.
  • Develops meeting agendas and time-lines for completion of events.
  • Receives applications of employment for civilians from the Office of the Sheriff Personnel Division to contact and arrange interviews for employment. These pre-approved positions would be assigned to the Bureau of Field Operations.
  • Thorough ability to analyze the functions and procedures of the Bureau of Field Operations and applies this knowledge to accomplish the normal, routine activities of the Bureau
  • Coordinates a variety of office activities, special projects, and functions.
  • Develops and modifies office procedures and forms to ensure efficiency and accuracy.
  • Ensures adequate supplies are kept on hand for the Bureau of Field Operations Administrative Office
  • Responsible for researching and organizing background material in preparation for meetings, conferences, and hearings.
  • Responds to inquiries and referrals from other offices and visitors to ensure that information flow is accurate and prompt and to maintain good public relations.
  • Willingly and cooperatively performs tasks and duties which may not be specifically listed in the class specification or position description, but which are within the general occupational category and responsibility level typically associated with the employee's class of work.

Qualifications

What You'll Need:

  • Must have experience at the Administrative Aide III level equal to the length of the probationary period;
  • Or Associates degree in Business Administration or Secretarial Science and two (2) years of advanced secretarial/administrative experience which involved working with the public, office management and operational details, and some supervisory responsibilities.
  • Applicants must be proficient in typing and shorthand where required.
  • An equivalent combination of education, training, and experience will be considered.

PREFERRED QUALIFICATIONS
  • Previous law enforcement or local government experience.

CONDITIONS OF EMPLOYMENT:
Applicants may be required to pass written, performance or other tests. In addition, applicants must undergo background investigation.

EXAMINATION: Applicants who meet the minimum qualifications will be administered an online examination to demonstrate proficiency in administrative duties and computer software programs. Applicants must pass the online proficiency examination in order to be considered for this position.

DURATION OF ELIGIBILITY: Applicants will be selected from a temporary register of eligible candidates, which will become effective approximately four (4) weeks after the closing date. Once a selection has been made, the register will expire.

ELIGIBILITY TO WORK:

  • Thorough knowledge of modern office management principles and practices.
  • Thorough knowledge of department operating policies/procedures/standards; and the ability to apply them as necessary.
  • Skill in operating a variety of standard office equipment.
  • Skill in proofreading/checking/comparing/verifying data for accuracy and completeness.
  • Skill in compiling specified data/information from files, office personnel and/or other records.
  • Ability to perform highly responsible administrative/secretarial work under general supervision.
  • Ability to coordinate activities, special projects and functions for the office.
  • Ability to plan, assign and review work of subordinate clerical staff.
  • Ability to take difficult dictation.
  • Ability to comprehend technical and complex discussion, interpret decisions and actions resulting from these discussions.
  • Ability to take initiative and exercise independent judgment.
