Administrative Assistant I - Youth and Adult Sports Office


In this position, you will perform a wide variety of general administrative support, clerical, record keeping, and clerical accounting duties in support of Youth and Adult Sports. You will also provide general information and assistance to the public regarding Parks, Recreation, and Cultural Services.

Essential Job Functions
- the basic job duties an employee must be able to perform:

  • Collect summaries and statistics for preparation of various reports, memoranda, and correspondence; review outgoing material for formatting, grammar, and punctuation
  • Maintain a calendar of activities, meetings, and various events; schedule meetings and coordinate activities with other City divisions and departments, the public, and outside agencies
  • Perform a wide variety of clerical duties associated with bookkeeping, information gathering, and records maintenance functions; establish accounts, make journal entries, and reconcile accounting records
  • Collect fees and maintain petty cash
  • Monitor the operation of office equipment and facilities; contact appropriate service vendors as needed
  • Screen office visitors and telephone callers; respond to complaints and requests for information on regulations, procedures, and systems
  • Serve as a point of contact for customers and visitors to the office; greet clientele in a professional manner
  • Provide information and assistance to customers regarding policies, procedures, and operations
  • Perform front desk duties including answering phone calls, responding to, and distributing emails to appropriate staff
  • Track visitors to the office
  • Coordinate appropriate opening and closing procedures for the office
  • Aid in scheduling field reservations and communicating reservations to appropriate staff
We are looking for candidates who demonstrate:
  • Knowledge of modern office technology and supporting software
  • Knowledge of proper English usage, spelling, punctuation, and grammar
  • Ability to work independently
  • Ability to establish and maintain effective working relationships
  • Proficiency in using Microsoft Office Suite

Successful candidates will have

  • A high school diploma or GED
  • One year of full-time administrative or related support experience
One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.

Additional appropriate education may be substituted for the minimum experience requirements

Ideal candidates will also have

  • Accounting and record-keeping experience
  • Customer service experience
  • Experience which demonstrates proficiency using Microsoft Office (Word, Excel, and Outlook)
  • Experience using ActiveNet or similar registration systems

Additional Information

The City of Colorado Springs offers additional compensation depending on the position, area of assignment, and specific job assignments, including shift differential, pay differential, acting or lead, special assignment, hazard pay, longevity, cell phone allowance, uniform allowance, relocation, awards, standby, call out, compensatory time off, tuition, overtime, extra duty, incentive, holiday premium, proficiency, and vacation sell back.
