HCH Enterprises, LLC is seeking an Administrative Assistant in support of The Rhode Island Department of Health (RIDOH.) The Administrative Assistant will support the state's COVID-19 Unit emergency response and recovery activities. The purpose of this classification is to support all activities by performing high level administrative and supportive tasks across the COVID-19 Unit.

Candidate must be able to provide support a minimum of 35 hours a week minimum, with ability to work off-hour shifts, weekends, and holidays as needed to support COVID-19 Unit response requirements.

This is an onsite position.

Responsibilities

  • Coordinate the flow of clerical and office work among COVID-19 teams
  • Monitor the task tracking systems for any open tasks assigned to and ensure responses are received and tasks are closed out in a timely manner
  • Gather information required for use as a basis for important administrative decisions.
  • Handle important and routine correspondence
  • Perform administrative duties and responsibilities that are directly related to the primary function of the agency and purpose of the work of COVID-19 Unit
  • Coordinate meetings, schedule interviews, and organize schedules
  • Maintain the functional email accounts and mailboxes
  • Be well versed in all policies, procedures, and guidance that RIDOH has put forth as part of statewide efforts to respond to COVID 19
  • Supervise and participate in the processing and maintenance of financial, personnel or other important records
  • Assist with COVID-19 evaluation, documentation, and demobilization efforts
  • Requisition office supplies and equipment
  • Perform other duties as assigned by supervisor

Education and Experience

  • Bachelors in related field and 2+ years related experience required
  • Experience in the use of video/web conferencing tools (such as MS Teams) and Microsoft Office software (i.e., Word; Excel; PowerPoint; Outlook)
  • Experience working in Microsoft Teams and SharePoint desired
  • Any combination of education and experience that shall be substantially equivalent to the above education and experience.
