My Sister’s Place is a non-profit Christian organization whose mission is to share God’s love by providing safe shelter, nourishing food, a nurturing environment and resources for single women and their children who are experiencing homelessness.
THE JOB
This is a newly created position that will require excellent organizational and communication skills, computer skills, adaptability, problem-solving, and a high degree of detail-orientation and accuracy to meet the needs of the position.
The Executive Assistant position exists under the direction of the Executive Director to perform administrative tasks in support of operations for My Sister’s Place. Duties include drafting and sending correspondence, general bookkeeping, assisting with preparation and distribution of reports, helping with special projects.
PURPOSE
To provide assistance to the Executive Director of My Sister’s Place by providing executive level administrative support to serve the needs and mission of the organization.
REQUIREMENTS
The position requires –
- Personal drive and a positive mental attitude to navigate constant change;
- Resourcefulness in a small, non-profit environment;
- Proficiency in Microsoft Office applications (Word and Excel a must; Google Workspace a plus);
- Self-direction and motivation to manage supportive administrative tasks;
- The ability to enthusiastically support and clearly communicate the mission and vision of MSP with people from diverse backgrounds, experience and interests;
- A “servant’s heart” characterized by humility, commitment and the mindset or desire to selflessly and sacrificially serve others, especially in the context of a small organization;
- Physical ability to travel alone between locations within Hall County and to perform general office work; and,
- High school diploma or GED plus three (3) years’ experience in an administrative support role.
RESPONSIBILITIES
Specific duties of the Executive Assistant include but are not limited to:
- Regularly consult and collaborate with the Executive Director to address organization needs for various administrative tasks including new, changing and ending assignments;
- Assist with marketing efforts such as newsletters, outreach programs, and social media;
- Perform general bookkeeping functions in collaboration with the Executive Director and contracted Certified Public Accountant;
- Assist with planning and implementing special events or large-scale activities;
- Maintain maintenance contracts such as pest control, HVAC systems, fire systems, etc.;
- Collect and maintain donation records such as contact information, assignment history, contact notes, donations, etc. in donor database;
- Conduct research, collect and analyze data to prepare reports and documents;
- Assist with reports to the My Sister’s Place Board of Directors and other stakeholder groups;
- Arrange and coordinate meetings and events, engaging with MSP leadership, board members, staff and volunteers as applicable;
- Monitor, screen, and respond to and distribute incoming communications;
- Record, transcribe, and distribute meeting minutes for the Executive Director;
- Prepare and edit correspondence, communications, presentations, and other documents;
- Review operating practices and implement improvements where necessary; and,
- Other duties as assigned.
