Job Summary:


The Department of Finance, Procurement and Logistics at SUNY Downstate Health Sciences University is seeking a full-time Administrative Assistant / Staff Assistant. The successful candidate will:

  • Provide customer support by reviewing issues and concerns, providing direction as to the appropriate point of contact for follow up, and facilitating contact with that team member.
  • Arrange interviews, meetings and trips for the Assistant Vice President and staff.
  • Manage the time and attendance records for all Procurement and Logistics staff.
  • Assist departmental leadership in the development and updating of department policies and procedures manual, tracking changes as necessary.
  • Track department expenses, ensuring compliance with budget as well as the annual preparation of department budget.
  • Log and monitor all incoming paper requisitions.
  • Assist with processing Bill Only Purchase Orders.
  • Assist with the updating and maintenance of policy and procedures; may communicate the information in the policies and procedures to both internal and external customers.
  • Assist with special events planning.
  • Manage calendars for the management staff.
  • Assist in the preparation of training and education materials and PowerPoint presentation for meetings and reports.
  • Use various software applications, such as Microsoft Office to create spreadsheets, relational databases, statistical packages and graphics packages to assemble, manipulate and/or format and/or reports.
  • Perform all other duties as assigned by the Department Administrator.


Required Qualifications:


  • High School Diploma.
  • 3 to 5 years of administrative experience.
  • Ability to work in a team environment and communicate effectively with all levels of the organization.
  • Must have strong interpersonal skills, with strong writing, proofing ability and analytic capability.
  • Must possess excellent telephone communication skills.
  • Proficient with MS Office Suite and a variety of electronic data systems.


Preferred Qualifications:


  • Bachelor's Degree.
  • Certification or formal training in administrative assistant operations.


Work Schedule:


Monday to Friday; 9:00am to 5:00pm


Salary Grade/Rank:

SL-2

Salary Range:

Commensurate with experience and qualifications
