We are currently seeking an Administrative Assistant with a minimum of 5 years of progressive administrative experience in the engineering, architectural or construction industries. The candidate will be responsible for providing administrative support as part of a team supporting multiple teams in the Building Design Group (Architecture, MEP, Structural & Civil.)
Responsibilities:
- Composing and editing correspondence, reports, meeting minutes, and proposal documents.
- Creating and editing PowerPoint presentations.
- Creating and editing Excel spreadsheets.
- Creating and editing InDesign documents. Making and receiving telephone calls, including taking and delivering messages.
- Proofreading and review of invoice and price proposal reviews and approvals.
- Assist with the distribution of incoming mail and preparing outgoing mail.
- Assist with the ordering and maintenance of reference library materials.
- Assist with the ordering and maintenance of office supplies and equipment.
- Make travel arrangements.
- Providing daily backup support for receptionist duties.
- Other clerical and administrative duties as assigned.
- Supporting office management activities
- Knowledge of AIA MasterSpec and SpecsIntact
Requirements:
- Minimum 5 years of clerical or administrative experience.
- Intermediate to advanced knowledge of Microsoft Word and Microsoft Excel.
- Proficient with Microsoft Power Point and Microsoft Outlook.
- Intermediate to advanced knowledge Adobe products including PowerPoint and InDesign.
- Exceptional organizational skills, including electronic document management.
- Proven ability to maintain confidentiality, including a high degree of discretion when dealing with confidential information.
- Highly motivated and detail oriented.
- Self-starter with desire to undertake new initiatives.
- Excellent demonstrated written and oral communication skills.
- Proven ability to meet deadlines.
- Proven ability to follow up on assignments to ensure they are successfully completed.
- Ability to multi-task.
- Demonstrated ability to work both independently and within a team.
- Ability and willingness to work cooperatively with and in support of others.
- Ability to maintain appropriate interpersonal relationships with employees, peers, and others.
- Prior experience working in an Engineering, Architectural or Construction industry required.
- High school degree or equivalent required, Associate’s or bachelor’s degree preferred
- US Citizenship required
- Preferred Candidate would be able to gain US Government clearance
