STANDARD HOURS: 37.5 Hours per week; Fall & Spring Office hours: Monday - Thursday, 7:30a.m. to 6p.m., & Friday, 7:30a.m. to 4p.m. with ability to work non-standard hours as needed.
PAY RANGE: $22.45 - $24.95 per hour
- Salaries/Wages for all finalists (internal and external) will be based upon education, experiences, current wages, and internal equity.

POSITION SUMMARY
Provide administrative support to the General Studies department. Manage the scheduling process including course selection, class data entry, processing faculty pay, and maintenance of various database systems. Identify, develop, and deploy student outreach campaigns through the most effective avenues. Coordinate part-time faculty hiring process. Produce various reports.

Essential Functions Statement(s)
- Greet internal and external customers, in-person, over the phone and email, via text messaging, and serve as the liaison between the customer and the appropriate individual. Conduct student outreach campaigns. Assist students with the enrollment process.
- Provide administrative support for all General Studies classes districtwide. These tasks include scheduling classes (all varieties), monitoring districtwide enrollments, maintaining various network databases (course catalog, 25Live, etc.), modifying curriculum and instructional delivery, scheduling rooms, and processing faculty course agreements. Notify departments, faculty and/or students of class changes, cancellations, and/or various types of subject area updates.
- Prepare schedule of classes’ worksheet, schedules, and grade/attendance reports. Organize, analyze, and evaluate instructional class schedules to track faculty workload. Establish and maintain various reports/queries for analytical purposes, syllabi, course outlines, curriculum documentation, spreadsheets, create block and standard schedules for students, reserve rooms, and resources to support student success.
- Serve as the liaison between internal and external customers, instructional and administrative teams, and all other departments districtwide. Coordinate and provide support to all departments, campuses, and outreach areas for class offerings, programs, and certificates. Serve in a cross-functional capacity to assist each administrative assistant within General Studies.
- Monitor expenses for numerous budgets and multiple grants; assist in budget planning process, processing expense statements, payment authorizations and workloads in accordance with College fiscal operating policies and procedures. Implement systems to track, monitor and analyze expenditures, grant project expenditures and team budgets.
- Perform administrative support tasks, such as developing, composing, proofreading, editing, and reviewing materials; and maintaining office equipment.
- Organize, analyze, and evaluate instructional class schedules districtwide and across multiple delivery systems to ensure utilization of budget dollars, enrollment capacity, waitlists, and section size.
- Maintain part-time faculty assurance status, faculty schedules and facilitate hiring of part-time faculty.
- Purchase supplies and coordinate travel arrangements for General Studies’ administration and faculty. Coordinate the ordering of supplies and maintaining inventories while adhering to budget guidelines. Maintain districtwide inventory of textbooks. Coordinate delivery and/or acquisition of new textbooks from publishers for faculty distribution.
- Provide a lead role for support activities in district, federal/state Basic Education and ELL projects and grants. Assist in developing schedules, hiring/assigning faculty, and monitoring budgets to support the Basic Education programming at incarcerated facilities, regional centers, and Green Bay Metro sites.

Skills and Abilities
Education: Associate Degree in Administrative Assistant, Business, or related degree
Experience: Three years related experience

Computer Skills
Microsoft Office Suite (advanced skills preferred), data management system (PeopleSoft preferred), and web portals; specific experience with College Business Enterprise System (EDWARE), Curriculum Tracker, WIDS, College Net/25Live is preferred.
Other Requirements
Knowledge of budget and/or accounting procedures and operational and capital expense reporting preferred.
Ability to type 40 words per minute with 95 percent accuracy
