Job description
This exciting Administrative Assistant III, Office of Diversity & Inclusion position with the People & Organization (P&O) team provides a wide range of administrative support for the Chief Diversity Officer and the Vice President of D&I Creative Programming. The selected individual will act as the central point for these executives with internal and external clients. The Administrative Assistant III will work collaboratively and demonstrate a high level of professionalism and confidentiality as they effectively interact with employees at all levels of the organization. The individual will play a pivotal role in supporting with executing strategic diversity & inclusion events and initiatives for Sony Pictures Entertainment (SPE).
Responsibilities
- Schedule meetings involving numerous attendees
- Meeting coordination, which includes booking conference rooms and meeting preparation
- Managing complex calendars
- Managing and coordinating local and international travel for two executives
- Process expense reports
- Use of Microsoft Office, including Word, Excel, and PowerPoint
- Submit invoices and keep budget spreadsheets updated
- Assist with D&I program logistics and event planning when needed
- Other general administrative duties (processing mail, copying, etc.)
- Miscellaneous duties as required
Qualifications
- 3+ years’ experience as an administrative assistant or coordinator, ideally in a Human Resources environment
- Strong computer skills (Microsoft Word, Excel, Outlook and PowerPoint)
- Exceptional organizational and interpersonal skills
- Must be detail-oriented and skilled at managing high volume of complex information
- Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
- Self-starter, who proactively identifies gaps and structures actions to address
- Ability to take direction from numerous executives and prioritize workload
- Must exhibit discretion and understand the importance of confidentiality
- Excellent communication skills – written and oral (must have a professional and courteous demeanor)
- BA or BS in HR or business relevant disciplines is a plus
