POSITION SUMMARY

ESRT seeks an Administrative Assistant to support the Chief Investment Officer and the Investment Team. The ideal candidate will be a self-starter, who is detailed oriented, proactive, and professional.


RESPONSIBILITIES

Managerial

  • Work with the CIO to manage calendars of the Investment Team
  • Coordinate meetings between the Investments Team and various departments at ESRT
  • Take minutes and dictation
  • Coordinate with other executive assistants


Organizational

  • Maintain contact information of internal and external parties
  • Maintain and record files for the Investment department and share information with other departments


Logistical Responsibilities

  • Prepare agendas, presentation materials, and investment memoranda
  • Create and modify Word and PowerPoint presentations
  • Distribute materials to the Investment Committee and Board of Directors
  • Coordinate meetings, property tours, and schedule conferences and plan ESRT Investment Team events
  • Coordinate and track meeting follow-up and monthly meetings with brokers and advisors
  • Manage Investment Team reimbursable expenses

  • Ability to maintain high standards and manage deadlines.
  • Ability to handle highly sensitive, confidential, and non-routine information.
  • Self-starter with excellent anticipation skills; problem solving; follow up.
  • Demonstrated dependability and sense of urgency about getting results.
  • Comfortable working with people at all organizational levels.
  • Strong knowledge of general business, corporate and government cultures.
  • Ability to display a consistent, professional degree of communication
  • Must have excellent judgment, independent thinker and resourceful.
  • Strong proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Team player with a positive attitude.
  • Highest degree of integrity, professionalism, diplomacy, and discretion required.
  • At least 3 years of administrative experience, ideally supporting C- Suite Executives or Managing Director level
  • Prior experience in accounting, commercial real estate, financial services, or management consulting required

The salary range for this position is $55,000 to $80,000. Salary is based on several factors including but not limited to education, work experience, job location, size of property where applicable, and/or certifications.
