About the Position
This position supports the Economics and International Affairs departments, the Political Economy minor, and the International Affairs Symposium. This includes two majors, two minors and a student-run symposium.
This position is represented by the Lewis & Clark College Support Staff Association Local 4912 of the American Federation of Teachers.

What You'll Do
1. Monitors departmental and program budgets (seven budgets in total): (25%)
Tracks expenses; Arranges reimbursements; Pays invoices; Responsible for the p-card used for departmental purchases; Reconciles records with the Business office; Makes purchases and orders supplies.
2. Coordinates day-to-day operations for assigned departments/programs, including: (25%)
Supports and works with department chairs in organizing, formatting, and processing required paperwork; Monitors work plans and deadlines; Provides support to faculty members in preparation of exams, instructional materials; Reserves rooms (works with events, as well as event AV and catering if needed), Coordinates standing committee meetings, scheduling and minutes; Submits work orders to facilities and IT; Processes mail and check requests; Provides logistical and administrative support during faculty searches.
3. Coordinates events, including: (15%)
Departmental speaker series; Outside visits related to the departments (guest lectures, grad schools, OCC interviews); Senior presentations; Senior departmental gatherings; The Mattersdorff-Steinhardt lecture (works with chair on all logistical matters); The International Affairs Symposium; Activities include reserving space, creating fliers, creating website and email announcements, arranging food, and other activities as required.
4. Provides logistical and budget support to the International Affairs Symposium: (20%)
Works closely with the faculty supervisor and the two student co-chairs; Tracks all budget matters (there are two budgets used); Arranges with the travel agent and the speakers to book all 12 speakers flights; Arranges for lodging for all 12 speakers; Collaborates with PubComm, the President's office, Events, and Catering, along with other vendors on the Monday night dinner; Coordinates the payment of honorariums, reimbursements and stipends to the speakers; Collects all the speaker release forms and W-9s or other tax forms from the speakers; Coordinates with Institutional Advancement for a list to use for publicity and information (symposium brochure mailer); Meets with the student co-chairs and the events department to go over the entire symposium prior to the event to make adjustments/requests.
5. Manages publicity and communication, including: (5%)
Departmental website updates and maintenance; Maintains departmental Facebook pages; Creates fliers and other printed material; Provides information to students, faculty, prospective students and the outside community; Monitors departmental email accounts.
6. Oversees document and data management: (5%)
Maintains financial, administrative, and historical documents; Archives and catalogs - symposium videos and brochures, departmental syllabus, and other departmental and program materials.
7. Oversees all Economics/International Affairs work study students: (5%)
Recruits, interviews, and hires; Trains, supervises, manages the schedules and assigns and oversees student tasks; Tracks and signs off on student hours.

Must Haves

High school diploma plus 3 years of related experience. A Bachelor’s or AA degree may be required for some positions. Additional directly-related job experience may be substituted for a college degree.

2 years of relevant administrative experience.
