Stevenson School is a PK-12 co-educational, college-preparatory, boarding and day school with enrollment of 770 students on two campuses in beautiful Central Coast California. The Upper Division campus (Grades 9-12) is located in Pebble Beach. The Lower/Middle Campus (Grades PK-8) is in nearby Carmel-by-the-Sea. Stevenson School seeks an Administrative Assistant to the Dean’s Office to start January 2023. Reporting to the dean of students, the administrative assistant (AADO) is responsible for a range of administrative and logistical duties that ensure the accurate, and consistent operation and swift responsiveness of the dean of students’ team. The AADO plays a critical role in ensuring student safety with timely tracking of student attendance and serves as a nodal point for community updates and reliable information.

The ideal candidate will be exceptionally organized and detail-oriented, and demonstrate the ability to effectively manage multiple tasks simultaneously, while maintaining a positive attitude and enthusiasm to engage with all members of the School community. Stevenson’s student body is richly diverse in makeup with upper division boarding students hailing from 15 states and 23 countries. The AADO will regularly interact directly with students and their families and will be expected to exercise cultural competency at all times. The assistant will also on occasion have access to confidential student-related information. A steadfast commitment to discretion and confidentiality is a must.

This is a full-time, 12-month/year position with significant project work each summer to prepare for the school year ahead. Occasional evening and/or weekend support of events and programs will be necessary.

Responsibilities:

  • Greet and appropriately direct callers and visitors
  • Respond to email and other correspondence in a timely manner and in accordance with school policies and expectations
  • Accurately track daily attendance, collaborating with teaching faculty for timely submission of attendance information
  • Follow up on unexcused absences with parents and dorm faculty
  • Provide database support to the dean’s office; design and distribute forms, surveys, and queries using the school’s student information system (Slate), and maintain data integrity for student contact information
  • Manage the residential weekend and vacation pass system in partnership with the director of resident life
  • Edit and distribute the weekly bulletin, and support the director of activities with distribution of the assembly digest
  • Maintain the student life database including day students’ vehicular data
  • Issue student parking permits
  • Manage the dean of students’ Google calendar and the Pebble Beach campus activities calendar
  • Produce and communicate the weekend activities schedule in coordination with the resident activities committee, the director of activities, and dorm heads
  • Serve as liaison with FLIK, the school’s food service provider
  • Other duties as assigned

Required Qualifications:

  • Bachelor’s degree
  • 3+ years of successful experience in a related role
  • Exceptional organizational abilities and attention to detail
  • Ability and demonstrated commitment to maintaining the integrity of digital and physical files in impeccable order
  • Excellent interpersonal, written and oral communication skills
  • Demonstrated time management ability and the capacity to appropriately prioritize and manage multiple responsibilities and projects simultaneously in a fast paced environment
  • Demonstrated advanced ability with database and/or information management systems; experience with Slate or student information systems (SIS) is highly desirable
  • Proficiency in MS Word, Excel and PowerPoint; operational knowledge of web-related technologies, Google Suite applications and Gmail
  • Ability to work independently to meet deadlines and effectively collaborate with others to achieve department objectives
  • Highest standard of professionalism and ability to maintain confidentiality in working with a broad spectrum of constituents
  • Ability to operate in a dynamic work environment and meet colleagues, students, and parents with patience, empathy, and kindness
  • Willingness to connect as needed with service providers to effectively address issues as they arise in a timely manner
  • Availability to work occasional evening and weekend hours, as needed

  • Proficiency in multiple languages
