We are seeking an organized, detail-oriented, team player for an Administrative Assistant role with Rudolph Libbe Properties in Walbridge, OH. This full-time role will be responsible for document management, scheduling appointments for executives in the department, preparing proposals, reviewing documents, and ensuring that deadlines for client property needs are met. To perform this job successfully, the ideal candidate will have exemplary attention to detail, strong writing, and organization skills, with a professional demeanor.
JOB RESPONSIBILITIES
- Document management of records and documents for department
- Update and maintain standard forms of documents for real estate and economic development
- Responsible for scheduling appointments for executives, both externally and internally
- Manage the calendars of company executives within the department
- Establish schedules and track deadlines to ensure all deadlines are met
- Review customer communications and contracts for deadlines and deliverables
- Organize and present proposals and property information to communicate with client to support client decision making
- Create written content to be used for proposals, scope of work, property assessments, and presentations for clients
- Enter economic development project leads into CRM software system, Cosential
- Organize and prepare for executive meetings, including gathering documents and coordinating logistics of meetings
- Register executives for conferences and events, coordinating travel arrangements as needed
- Assist in the preparation of correspondence, meeting minutes, etc.
- Maintain expense reports for executives
SKILLS
- Ability to keep track of deadlines, prioritize, and attend to details
- Must be organized, detail-oriented, and able to coordinate the activities of others
- Ability to proactively identify issues and solve problems
- Dedicated team-player with strong interpersonal skills and ability to build collaborative relationships
- Ability to review and understand real estate contracts, requirements, and regulations
- Working knowledge of terminology and documents used in real estate and economic development arena
- Strong writing skills, including the ability to critically review written communications for proper sentence structure, punctuation, and grammar; and offer suggested improvements
- Be proficient in the following technologies: Microsoft Office 365, especially in Excel, Word, and Outlook, PDF authoring applications such as Adobe Writer, Bluebeam Revu, etc. and web conferencing applications such as Teams
- Interest in learning new software and procedures
- Ability to manage multiple projects simultaneously
EDUCATION/EXPERIENCE
- Three (3) or more years of administrative experience
- Real estate, economic development, or construction experience a plus
- A minimum of a high school diploma or GED is required. College education is beneficial.
