The below job opportunity is with one of our Biotech clients who researches develop and commercializes drugs. The company focuses primarily on antiviral drugs used in the treatment of HIV, hepatitis B, hepatitis C, and influenza, including Harvoni and Sovaldi.
Description:
- The Administrative Coordinator will support the Advancing Health and Black Equity team and functional Leads, with primary support for the Vice President of Advancing Health and Black Equity.
Key areas of responsibility include:
- Understand the goals and objectives of the Advancing Health and Black Equity team to contribute to its attainment and to help implement them into the culture of the department.
- Resource to other administrative assistants and is cross-trained to provide backfill support.
- Strategically analyze business operational processes by gathering data to implement solutions; streamline procedures and update policies as needed.
- Strong organizational skill is required.
- Experienced and comfortable dealing with high level executives as well as others in a professional manner.
- Customer service oriented. Proactively helpful and supportive to all stakeholders. Can do attitude.
- Solutions oriented, while providing clear justifications.
- Work under minimal supervision; while receiving occasional direction from manager to perform non-routine job responsibilities and duties.

- Vendor Onboarding / Management
Scheduling, Procurement, Meeting & Travel Preparation and general tasks:
- Proactively maintain daily calendars for VP. Adhoc support for calendaring of AHBE team Manage scheduling changes and resolve scheduling conflicts.
- Support procurement activities including contract paperwork processing, tracking and documenting invoices
- Triage with client contracts team to resolve contract edits, support contract signage and triage contract documents internally and with external vendors.
- Organize digital files/folders for procurement. Meet with Finance team regularly to provide updates on budget accruals and contract status
- Effectively prioritize workload and independently resolve conflicts related to meeting multiple deadlines.
- Plan, coordinate, and implement large number of events, including catering, of various types and sizes, such as department meetings, team building events and other meetings.
- Organize travel arrangements, prepare full travel agenda, and include pertinent travel/event material package for VP.
- Schedule interviews, which may include travel arrangements for non-local candidates.
- Proactively coordinate and prepare PowerPoint slides for meetings as requested.
- Efficiently manage multiple ad hoc projects of various sizes, while delivering results within timeline.
- Capability and willingness to go above and beyond to support future or going into project management
- Cross functional support for Advancing Health and Black Equity.
Qualifications:
- At least 5years experience in biopharmaceutical industry
- Strong cross-functional collaboration skills
- Excellent strategic thinker with ability to formulate, develop and execute on agreed strategies
- Experience in procurement, meeting and travel planning
- Knowledge of Oracle, AP Invoices, Concur, G.CAT, GPartners
- Able to prioritize tasks, and organize and manage multiple projects
- Communicate and collaborate effectively with internal customers and cross-functional teams
- Coordinate and manage projects with external consultants as needed or appropriate
- Excellent verbal, written and interpersonal communication skills
- Ability to communicate complex ideas and strategies to executive leadership
- Strong executive presence. Ability to command respect with both external and internal stakeholders
- Demonstrate ability to take initiative and consistently deliver high-quality, patient-centric solutions while working in a high-matrix organization.
Specific Education and Experience:
- Requires 6 years of relevant experience with a Bachelor’s Degree or 4 years relevant experience with Master Degree in business administration, , or related field.
- High level knowledge of client’s internal processes and systems as it relates to travel and procurement. is preferred

Pay: $40.00 - $45.00 per hour
