ADMINISTRATIVE/DEVELOPMENT ASSISTANT

Living Classrooms Foundation is currently seeking an Administrative/Development Assistant with quality phone skills, excellent written communication skills, and great attention to detail to assist the Foundation with daily development and administrative activities. Office 365 and Blackbaud/Raiser's Edge NXT experience preferred.

Development responsibilities:

  • Prepare Acknowledgment Letters for signature (includes tailoring letters), track pending Acknowledgment Letters, and process signed Acknowledgment Letters for mailing (scan all letters, pull from pending, action in Raiser’s Edge)

• Utilize database, tickler system to process all student thank you cards • Work with VP of Development to develop and implement stewardship strategies that strengthen long-term relationships with major donors

  • Manage all ticketing and guest lists for our major fundraisers
  • Pledge reminders and donor invoices for fundraisers
  • Assist with mass mailings including the Spring and Fall Annual Appeals (printing, mailing, postage)
  • Help to maintain a healthy database by editing errors in records
  • Act as onsite assistant for event registration
  • Back-up the Donor Database Manager during high working seasons or days off

Administrative responsibilities:

  • Coverage of the reception desk during times when the Front Desk Coordinator is away from the desk – sick/vacation days. This responsibility includes answering main Foundation’s console and directing calls, welcoming visitors, mailing general correspondence, directing visitors to the Bearman Art Gallery, accepting payment from people visiting the museum

• Support Board of Trustees meetings and special events

  • Prepare correspondence from dictations for the President & CEO *as needed
  • Administrative support of Historic Ships and Friends of Fort McHenry
  • Such other duties as are necessary for the operation of the Foundation or as assigned by the Director of Administration.
  • Management of email contact database
  • Scheduling for CEO, COO, or Vice President as needed

Requirements:

  • Five years of administrative experience preferred
  • Ability to thrive in a fast-paced environment and meet tight deadlines, working on multiple concurrent programs requiring gathering, design, and project planning/management
  • Attention to detail and strong organization and time management skills are a must

  • Should be proficient with MS Office (Word, Excel, and Outlook) with experience with Office 365, and Raiser’s Edge preferred
  • Excellent customer service and interpersonal skills
  • Needs to occasionally be flexible with work schedule in support of events and deadlines
  • Ability to critically assess challenges and identify effective solutions
  • Should be proactive, resourceful, and efficient with a high level of professionalism and confidentiality to help ensure quality results
  • Must be focused, motivated to learn, flexible to change, and take the initiative to always maintain a strong work ethic
  • Must be able to work independently as well as part of a small team
