Responsibilities
Under general direction of the Executive Assistant V, the incumbent provides high level administrative support to Vice Chancellor, Human Health Sciences and CEO, UC Davis Health and/or other executives in the VC/CEO suite. Incumbent is expected to utilize initiative, judgment, and discretion in researching, analyzing, and compiling necessary background information to assist management in responding to a wide variety of complex issues. The incumbent responds through verbal and/or written communication to a wide variety of inquiries from faculty, staff, students, the public and the highest levels of the UC Davis Health Enterprise, Campus, and University administration, including the Offices of the President and the Chancellor. The position research requests for meetings and helps to track an array of correspondence on behalf of the VC/CEO office; applies problem-solving techniques and provides referrals to appropriate offices and authorities; manages the complex electronic calendar of the VC/CEO and/or other executives in the VC/CEO suite, determining priorities of meetings and resolving scheduling conflicts; provides support for meetings and travel. Incumbent partners extensively with the VC/CEO’s Administrative Officer 3 on a variety of daily tasks as well as long term projects, as needed. In addition, incumbent works closely with the VC/CEO’s Executive Assistant V and joins with counterparts in the VC/CEO suite to fulfill daily operations, as needed.
Required Qualifications
- Several years demonstrated experience working in an executive level office and providing high level administrative support to executive leadership
- Demonstrated political acumen and discretion in maintaining confidentiality
- Extensive calendaring experience, as well as experience using Microsoft Office (in particular Word, Excel, PowerPoint)
- Excellent written and verbal communication skills and diplomacy to handle sensitive or difficult situations
- Demonstrated project management skills to provide support for multiple meetings and for competing deadlines
- Accomplished organizational and analytical skills to assume general assignments and independently follow through to successful completion; to manage details of complex projects and events.
- Strong time management and multitasking skills
- Demonstrated strong analytical, research, and problem-solving skills
- Excellent typing, writing, editing and proofreading skills to produce correspondence and other written materials quickly and accurately.
Preferred Qualifications
- Knowledge of UC Davis policy and procedure; UCD specific programs (MyTravel, MyInfoVault, Kuali Financial Systems, etc.); and Microsoft Outlook
- Experience working at an academic medical institution or higher education environment
- Experience coordinating large-scale conferences/meetings and special events
- Experience working in a confidential environment; understanding of HIPAA standards
