Arkansas Tech University-Ozark Campus is the regional provider for technical and career education, offering more than 25 programs with a variety of industry specific options, as well as certificates of proficiency, technical certificates, associate degrees and general education coursework. The Ozark Campus is located on I-40 between Fort Smith and Russellville, Arkansas, in the city of Ozark. The campus, which is more than 26 acres and includes a half-mile exercise path and disc golf course, is located along Arkansas Highway 23 North in Ozark, Arkansas. The city of Ozark, with a population of approximately 3,500, is located on the banks of the Arkansas River and surrounded to the north by the Ozark National Forest and to the south by the Ouachita National Forest. Located to the west of Ozark is the city of Fort Smith, a commercial and industrial center for western Arkansas. Russellville, home to Arkansas Tech University's main campus and an area of vigorous industrial development, is located to the southeast of Ozark on Interstate 40.

Position Summary:


The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.


Essential Duties and Responsibilities:

Greets and directs visitors and students.


Schedules appointments and responds to telephone or personal inquiries regarding the college's organizations, functions, activities and services including admissions, financial aid, and registration, academic calendar, grant services, testing, workshops and other related information.


Serves as first contact with student customers; works towards problem solving and customer satisfaction/understanding in a professional, friendly manner.


Coordinates and organizes the front desk area.


Receives, updates, and processes documents which students submit for their application, which can come via mail, email, or other electronic sources.

Scanning, indexing, and organizing student records.


Reviews applications to determine eligibility for admission.


Processes student services forms and documents; and updates and/or modifies other student related records as required.


Actively participates in student success, retention, and admission strategies.


Coordinates, sorts, and distributes campus mail.


Composes correspondence and form letters, maintains activity logs and submits reports to a supervisor.


Maintains databases and spreadsheets; may also analyze data and design/generate associated reports.


May oversee training and assist with supervision of student employees in Student Services.


Participates in cross-training.


Other duties as assigned.

Knowledge, Skills, and Abilities:

Ability to operate office equipment and communicate orally and in writing.


Ability to conduct research and compile data into report form.


Knowledge of work-related subject area.

Minimum Qualifications:


The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus two years of experience in a specialized or a related field applicable to work performed.

Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management.

OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.

Preferred Qualifications:


Familiarity with Microsoft Office


Experience with Ellucian Banner

Self-starter with an interest in working in a team environment

Excellent communication skills and computer keyboarding skills


Ability to work with the general public effectively


Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists


Ability to work effectively in a multi-ethnic/multi-cultural environment with students, faculty, and staff
