Responsibilities

  • Responsible for providing direct executive and administrative support to the Associate Vice President for Human Resources/ Finance & Administration Chief of Staff. Provides general support to the HR Department as authorized by the Associate Vice President. External to HR, additionally provides administrative support to the Employee Assistance Program.
  • Responsible for all functions related to travel for HR to include making travel arrangements, obtaining receipts, and keying travel authorizations and expense reports. Also responsible for keying all non-travel expense reports.
  • Manages departmental HR functions to include creating job openings, submitting job offers, completing new hire paperwork, submitting electronic personnel actions, completing the Separation Checklist, processing Outside Employment forms, Moving Expenses, and Perquisites. Interprets University policies and provides recommendations based on knowledge of the department's objectives. Serves as the HR Time and Leave Coordinator and will approve time entry in the absence of department supervisor(s). Also serves as backup to the Business Manager for HR Actives and Cost Center Reports.
  • Responsible for functions related to Procurement to include initiating requisitions, purchasing items with a P-Card, purchasing and receiving on purchase orders, and obtaining receipts.
  • Coordinates office construction, reorganization, key management, and equipment maintenance, as well as maintains the office supply room. Serves as Property Custodian and inventory taker. Maintains the HR van and van travel log.

Qualifications


Bachelor's degree and two years of experience related to the duties of this position; or a high school diploma or equivalent and six years of experience related to the duties of this position. (Note: or a combination of post high school education and experience equal to six years in same.)

  • Experience working with various levels of employees and management in a professional environment.
  • Experience providing excellent customer service with strong organizational skills and high attention to detail.
  • Effective communication, writing, critical listening, and problem-solving skills.
  • Experience handling confidential information appropriately; exhibits a high degree of discretion and sound judgment in decision making.
  • Experience working with applicable computer applications and basic computer functions, including the Microsoft Office Suite.
  • Experience in executive-level calendar management.
  • Valid Florida driver's license or the ability to obtain one upon hire.
