ORGANIZATIONAL SUMMARY:

The University of South Florida Police Department (USFPD) is a full service law enforcement agency dedicated to providing a safe environment for and in partnership with the community, while remaining committed to assisting with personal and professional development of department members, and to the principle of being community minded and service driven.

USFPD is organized into various bureaus, divisions, sections, squads, and units. The department is led by a command staff comprised of sworn and non-sworn members of the rank of captain and higher, a communications and records manager, and public information representative; all of whom report to the chief of police through an established chain-of-command.

The Operations Bureau is commanded by a captain who oversees the Patrol Division and the Community Service Officer Program. The Patrol Division is further broken down into four squads which provide direct law enforcement services to the community. The Special Operations Bureau is commanded by a captain who oversees the Special Operations Division which includes Special Events, Crime Prevention, K9 and Criminal Investigations Sections; both of which are led by sergeants. The Administration Bureau captain oversees the Support Services Division. The Support Services Division includes the Professional Standards and Information Technology Sections. The accreditation, training and background investigation units fall within the Professional Standards Section which is managed by a sergeant. The Communications & Records Division reports to a non-sworn manager.

POSITION SUMMARY:

The Admin Specialist-Special Events performs specialized project support duties of a clerical or administrative nature specific to special events occurring on-campus requiring law enforcement support. Duties include entering data and running reports on databases, organizing schedules and meetings, and maintaining forms, files and other records. This position schedules law enforcement resources for special events; ensures event request forms are properly completed, review and approve campus event requests. Prepares invoices and appropriate financial/ payroll reports and enters event related data into the departments special event management system. The position will also assist in and creating event operations plans, maps, routes, staffing rosters, etc.

RESPONSIBILITIES:

Schedules law enforcement resources for special events; ensures event request forms are properly completed, review and approve campus event requests.

Enters event related data into the departments special event management system. Prepares invoices and appropriate financial/ payroll reports. Gathers data and prepared reports related to special events.

Creates and maintains signs and banners to provide patrons with public information.

Manages department special event/extra duty calendars.

Duties include entering data and running reports on databases from training records, property records and community survey results, and maintaining forms, files and other records.

Utilizes specialty vehicles to deploy traffic cones, signage, trailers, message boards, etc. in preparation for special events.

Performs other duties as assigned.

POSITION QUALIFICATIONS:

MINIMUM:

This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

PREFERRED:

Experience in event coordination and management principles.

SPECIAL SKILLS/TRAINING:

Understanding of law enforcement support functions and special event processes. Knowledge of event coordination and management principles. Knowledge of computer and job-related software programs
