Position Summary:

The Admissions & Billing Specialist is responsible for ensuring ongoing functionality of the state database system in tandem with our internal database system, while efficiently and effectively compiling data, and ensuring that all billing and all documentation is accurate and reflects the needs of the people we serve.

Position Duties & Responsibilities:

In a manner consistent with supporting The Arc NCR?s Mission Statement the Admissions & Billing Specialist shall do the following:

Quality Support

  • Assist program Directors with accurate data collection for program billing and services rendered.
  • Responsible for completing audits in several systems.
  • Internally monitor and audit services to ensure all program billing is accurately captured.
  • Work with programs to ensure accuracy with rates, units, ID numbers, etc., in state database and internal database.
  • Work with A.D. of Admissions and Enrollment to modify and implement internal processes and procedures.
  • Assist with strategic planning goals.
  • Work with the Directors team to ensure Funding Streams are aligned accordingly.
  • Ensure DSAT/Cost Detail aligns with the person?s services.
  • Assist with a continuous quality improvement process throughout the programs and service areas.
  • Coordinate with Database Manager to proactively troubleshoot concerns and database functionality.
  • Coordinate with Case Management team to ensure that all person-centered plans (PCPs) are submitted and updated in internal database to ensure compliance and adhering to deadlines.

Quality Team Members

  • Assist programs in preparing for database implementation.
  • Support the A.D. of Admissions and Enrollment in providing technical assistance and strategic support to team members as needed to ensure billing and attendance compliance.
  • Trouble shoot and address concerns internally relating to the acceptance of individuals in an Arc NCR program and work with Directors to resolve concerns.
  • Oversee the ongoing person supported database systems training for all employees.

Financial Excellence

  • Track and monitor all program billing to ensure timeliness and accuracy
  • Upload attendance from the agency?s internal system to the state database in a timely and accurate manner
  • Work with Finance to ensure timely payments and complete reconciliations.
  • Work with program in reviewing database reports and work directly with A.D. of Admissions and Enrollment regarding issues and exceptions.
  • Understand the array of The Arc NCR services and the applicable HCBS Waivers
  • Ensure the continued financial viability of The Arc NCR?s program/service units through evaluating and synthesizing data.
  • Other duties as assigned.

Education, Training and Experience:

  • Bachelor?s degree in business, healthcare administration, or related human services field preferred or three (3) + years of high-volume Accounts Receivable or Accounting experience in a fast-paced dynamic environment.
  • Experience LTSS and/or iCare Manager preferred.
  • Training and understanding of the updated Maryland DDA Waivers is preferred
  • Fluent in Microsoft Office Suite, specifically an intermediate level with Excel

Physical Demands

While performing the duties of this position, the employee will be expected to operate successfully certain office equipment but not limited to: desktop PC, laptop computer, printers, scanners, and copiers. An employee in this position must be able to lift up to 50 pounds, demonstrate approved physical intervention techniques (Mandt) and demonstrate CPR.

An employee in this position will be required to maintain records related to the position. He or she will be required to have sufficient mobility to supervise staff, attend meetings inside and outside the office; he or she will be required to have sufficient fine motor skills to use a keyboard and telephone, handle, manipulate and retrieve documents pertinent to the position. This employee is required to hear (with or without hearing devices), speak (with or without associated devices), and see (with or without corrective lenses).

  • Access to reliable transportation
  • Active valid driver?s license and driving record that has no more than two (2) points.
  • Maintenance of all required trainings under DDA guidelines and The Arc Northern Chesapeake Region policies and procedures
