Hiring/Budgeted Salary or Hourly Range: The budgeted salary or hourly range that the University reasonably expects to pay for this position is $62,300.00 -$75,000.00/yr.
Full Salary Range: $62,300.00 - $117,500.00/yr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University.
Work Location: Chicano Students Center - 201
Working Days and Hours: Monday-Friday, 8am-5pm

The Early Academic Outreach Program at UCSB provides students, their families, and communities with the resources and services necessary to increase A-G eligibility rates, university and financial aid applications, and enrollment into post-secondary education.
EAOP is seeking professionals who are committed to assisting high-achieving and high-potential, first-generation, and low-income students become academically prepared and have options to successfully matriculate into any of the systems of higher education in California including the University of California and California State University systems.
EAOP achieves this through the collaborative efforts of College Site Coordinators and Academic Services Coordinators in providing college knowledge and academic enrichment services to 9th-12th grade students and intensive academic advising to enrolled EAOP students.

Brief Summary of Job Duties
The Early Academic Outreach Program (EAOP) develops collaborative partnerships with schools and districts in the counties of Ventura, Kern, and Santa Barbara that are designed to increase A-G completion rates by students from communities with low college going rates. The primary mission of EAOP is to provide services, activities, and programs that will encourage academic achievement and competitive eligibility for the UC and CSU systems. Has lead responsibility for supervising and managing school site coordinators and the programs and services that they deliver at Partnership high schools and their feeder middle schools. As a key member of the EAOP Management team, assists with overall program leadership, accountability, budget oversight, program outcomes, and evaluation and assessment. In the absence of the Director, assumes full responsibility and decision-making authority to manage and represent all aspects of the program. EAOP is a UC system wide program and a unit of the UC Santa Barbara Division of Student Affairs Enrollment Services Cluster.
Required Qualifications
- Bachelor’s Degree in related area and / or equivalent experience/training
- Experience working with high achieving, low-income and first-generation populations in pre-college programs or educational context.
- Extensive experience advising and supporting educationally disadvantaged and / or academically at-risk students regarding postsecondary opportunities and careers.
- Advanced knowledge and understanding of K-14 education (including knowledge of college entrance and high school graduation requirements), policies, and educational equity issues.
- Strong interpersonal skills, including presentation, communication, negotiation, leadership, problem-solving, and conflict resolution.
Preferred Qualifications
- Master’s Degree in related area and / or equivalent experience/training
- Experience working as supervisor of professional staff as part of a team, providing guidance, direction, and oversight of others.
- Student staff supervision may be substituted for two years of professional supervisory experience.
- Proficient in speaking, writing, and communicating in Spanish.

Job Functions/Percentage of Time/Duties
- Personnel Management of College Site Coordinators – 45%
- Personnel Management of College Site Coordinators Directly supervises and manages EAOP College Site Coordinator’s and designated EAOP Intern’s delegation of work assignments, performance evaluation, corrective action, and other personnel issues including conflict resolution.
- Responsible for the development, maintaining and updating of College Site Coordinator training materials as well as conduct and coordinates required training. Training includes specifics on the admissions and matriculation requirements for Community Colleges, California State University, the University of California, private and out of state universities as well as the types of financial aid available to low income and undocumented students.
- Monitors and documents staff performance based on the development of individual staff outcomes, professional development goals, and compliance with program expectations. Assists staff in achieving professional development plans and training requirements.
- Ensures that EAOP complies with and supports Human Resource policies and procedures related to interviews, hiring, disciplinary, dismissal, and training procedures.
- Manages staff’s electronic timekeeping, leave time accruals, protected leave, as well as web-based tracking of expense requests, reimbursements, and travel requests.
- Programmatic Management and Curriculum Development - 20%
- In coordination with EAOP leadership team, will oversee EAOP’s Dual Service Model implementation that provides multiple levels of support for academic and college preparation for first-generation and low-income students and parents at EAOP’s service schools.
- The service model focuses on intensive services for EAOP enrolled students and whole school efforts that include CSU/UC admissions requirements, financial aid, academic advisement, study skills, motivational activities for students, and support for parents and community programs that ensure consistent and successful methods of collaboration and resource delivery to achieve programmatic goals.
- Collaborates with EAOP leadership team in the coordination and the formation of annual and bi-annual strategic planning sessions, setting program goals, expectation of services, and professional development programs for EAOP staff.
- Utilizes the Transcript Evaluation Service (TES) to facilitate EAOP A-G on-track reporting. Assistant Director needs to become proficient in the use of TES in order to facilitate College Site Coordinator training and the completion of SAPEP reporting.
- Works closely with Director on a variety of special projects and reports, including annual strategic planning, funding requests, grant proposals, annual Division & SAPEP reports, and ad-hoc and financial reporting for the Department.
- Coordinate and work closely with EAOP Site Coordinators, middle and high school principals, and district administrators to assess stakeholder needs for the purpose of designing and implementing EAOP service agreements and annual activity calendars.
- Work with program managers to facilitate the development of program and site budgets and track expenditures according to State, campus, and grant requirements.
- Responsible for the accuracy of information and timely updating of EAOP publications, presentations and website content.
- Accountability Reporting and Budget Oversight - 15%
- Provides oversight and direction to staff in the collection of outcome data as it relates to EAOP’s annual accountability and SAPEP reporting.
- Provides training, oversight, and quality control for all of EAOP’s programmatic and annual SAPEP accountability reporting and associated data collection. This includes EAOP enrollment forms, tracking of all services, and the gathering of all demographic information needed of students who receive services. Utilizes web-based database system as an accountability tool.
- Is responsible for training staff on the importance of meeting reporting deadlines and expectations as set forth by EAOP’s leadership team and associated demands of reporting.
- Demonstrates proficiency in the use of EAOP’s web-based database systems and the ability to train College Site Coordinators in the effective use as a real-time service tracking and academic progress tool.
- Is responsible for gathering stakeholders’ evaluation and feedback on the effectiveness of the EAOP Services Model in order to inform programmatic effectiveness.
- Responsible for contributing to the creation of EAOP’s annual budget following UCOP’s and UCSB’s fiscal guidelines and best practices.
- Oversees and guides EAOP staff through the creation of their site budget and ensures they are adhering to business service policies for expenditures and reimbursements.
- Responsible for staying up to date in any changes to policies in higher education, federal, statewide, UC Office of the President, and UCSB campus that may impact EAOP’s ability to meet its mission.
- Liaison Responsibilities - 15%
- Is responsible for serving as liaison to the EAOP Director and leadership team to relay information from school sites and district administration that may impact EAOP’s contracted services.
- Is responsible for coordinating regular communications with school site counseling department chairs, Assistant Principals, Principals and designated district staff regarding outcomes and evaluation of the delivered programs and services for quality control and program improvement opportunities.
- Communicates regularly with other pre-college programs leadership teams providing services at the same middle and high schools as EAOP in order to foster collaboration, sharing of resources and avoiding duplication of services.
- Interacts effectively and diplomatically with school district administrators, school personnel, and UCSB Departments, faculty and staff in the coordination and implementation of both on and off campus college and academic preparation events, programs, services, and activities.
- Resource Acquisition and Management - 5%
- Establishes and maintains productive and informed working relations with vendors. Assures the quality and timely delivery of all materials. Evaluates design and production methods and determines the most economical solutions as established through the university bidding process.
- Manages the inventory of publications, materials, promotional supplies to ensure timely reordering and appropriate numbers of materials and supplies for EAOP hosted tours, programs, services, events, and annual activities.
- Provides oversight of the acquisitions of programmatic materials utilized for program branding and event coordination.
- Has knowledge of UCSB’s procurement procedures and billing processes.
