Assistant Director, Custom Programs
Job description
Reporting to the Director, International Special Programs and ELI Academics, the Assistant Director, Custom Programs is tasked with creating and operating custom programs for the ELI and Pace schools other than Lubin in the university.
The Assistant Director, Custom Programs contributes to building partnerships with universities and other international organizations that will increase enrollment; assisting with the strategic planning, marketing, and development of new programs, and ensuring the smooth running of these programs.
The Assistant Director will work with the Director, International Special Programs (ISP) and ELI Academics; the Associate Academic Directors, ELI; the Director, Pace Summer, and Winter Intersession Terms; the Director, ELI Enrollment Management; and faculty and staff of any relevant schools within Pace University to create complete programs that meet market needs and satisfy client demands. Position Duties
- Work with the Directors in ISP and the ELI or any other stakeholders in the university to find new partners for custom programs, including agents, partner institutions, and corporations.
- Write proposals, negotiate contracts and write letters of agreement for custom groups. Submit contacts through the appropriate channels to Pace’s legal department for final approval and manage the contract submission process.
- In conjunction with the Director, International Special Programs, assess needs and design curriculum and activities, in conjunction with relevant academic support from the ELI or the schools within the university.
- Based on client needs, liaise with the appropriate persons to create programming that meets those needs. This could include housing (Pace and external); meals; transportation; English classes; credit-bearing courses; non-credit-bearing content classes; and extra-curricular activities such as excursions, company visits, school visits, volunteer programs, conversation with local students, class visits, etc.
- Create new business processes for groups, as needed.
- Onboarding new staff and faculty for all non-academic aspects of employment and coordinating academic onboarding.
- Supervise ongoing programs to ensure the smooth running of operations.
- Maintain financial and accounting records, including financial projections, invoices, and communicate with Pace finance departments.
- Attend partnership networking events and meetings, as feasible, receive international partners, and visit local vendors, as needed.
- Assist instructors with logistical issues. Liaise with academic departments for supervision of academic staff where appropriate.
- Facilitate all aspects of the program including Educational Media, room bookings, student record creation and maintenance in university databases, placement testing, scheduling, evaluations, certificates, student orientations, ID cards, etc.
- Maintain project management system to help ensure the smooth running of the programs.
- Work with the appropriate admissions team (ELI, school, university) to facilitate timely and correct admissions into the program.
- Work with the Director, International Special Programs to develop and maintain digital and print communication to promote Custom Programs including the ISP website. Also on strategic ISP projects, vision and mission, social media, web development, and recruitment and marketing plans.
- Performs other such duties as assigned from time to time.
Position Qualifications
- Bachelor’s degree required. Master’s degree preferred.
- Minimum 3 years of administrative experience, preferably in a university setting.
- Experience working with international students is preferred. Comfortable working with international students and the general public.
- Excellent oral and written communication skills.
- Fluency in English is required and one other language is preferred (either Spanish, Korean, Russian, Chinese, or Japanese).
- Proficient in MS Office Software including Word, Access, Excel, Outlook, PowerPoint, and competence in Windows, e-mail, word-processing, spreadsheet skills, and other office software as needed.
- Highly organized, motivated, reliable, and flexible to manage a variety of tasks each day.
- Ability to work with multiple people across most levels of the university.
