POSITION TITLE: Assistant Library Director

STATUS: Full time; non-exempt

REPORTS TO: Library Director

SUPERVISES: Library Associates, Library Assistants

PURPOSE OF POSITION:

Responsible for assisting in the direction of the city library through complex administrative and professional library work in order to ensure the efficient provision of services to the community.

ESSENTIAL FUNCTIONS:

Acts in the capacity of the Library Director in his/her absence.

Assists in planning, directing and implementing departmental goals and objectives designed to ensure the efficient operation of the city library.

Manages and performs front line tasks related to the circulation of library materials including checking books in and out, issuing library cards, collecting fines, issuing overdue notices and bills for materials recovery, initiating interlibrary loan, answering phones, addressing complaints and solving problems as needed.

Under the direction of the Library Director, performs supervisory functions such as scheduling work, assigning work duties, training personnel on various systems, equipment and techniques, assisting in performance evaluations when needed, and recommending disciplinary action.

Assists in the development, planning, organization and promotion of library programs and services throughout the community by working with Library Director and other staff members.

Aids in writing and upholding library policies and procedures as pertains to library operations.

Coordinates meeting room use by scheduling and tracking reservations and use.

Assists in the selection, maintenance and discarding of all materials to ensure the efficient operation of the city library.

Attends conferences and meetings pertaining to new developments and materials available.

Participates in area, state, and national library associations and activities.

Performs administrative duties including the preparation of various reports and records pertaining to the duties performed. Compiles daily and monthly reports pertaining to various
programs, petty cash balances, library materials, shelf lists, etc.; forwards reports to the Library
Director.

Establishes and maintains positive public relations with volunteers, community groups, local businesses, other city departments, and the general public; assists in developing sources for support and donations.

Conducts library tours, arranges interviews with authorities on subjects related to the library operation; provides public records and information to citizens, the media and other agencies as requested.

Operates standard office equipment in the performance of job duties, i.e. fax machine, copier, printer, computer, calculator, etc.

Performs other duties as directed or as the situation dictates.

ESSENTIAL KNOWLEDGE, EXPERIENCE AND ABILITY:

Knowledge of and the ability to apply the principles and techniques associated with professional library work, modern library systems and programs.

Knowledge of and ability to learn to utilize computers and software applications as they pertain to library systems.

Knowledge of and ability to learn and perform input, creation, and retrieval functions utilizing a variety of computer programs dealing with word processing, spreadsheet and databases.

Knowledge of departmental responsibilities and ability to use independent judgment in the performance of duties.

Knowledge of community resources and agencies available to the general public and community groups.

Ability to plan and organize a personal work schedule, set priorities and meet deadlines.

Ability to plan, assign, direct and supervise the work of subordinates, as needed.

Ability to establish and maintain effective working relationships with the public, other employees, volunteers, other area libraries, other governmental agencies and municipal officials.

Ability to perform job duties efficiently while managing frequent interruptions.

Ability to learn and operate standard office equipment.

Ability to accurately prepare and maintain various records, reports, and other departmental documents.

Ability to understand and follow both oral and written instructions.

Ability to communicate effectively, verbally and in writing, in English.

ESSENTIAL EDUCATION, CERTIFICATION AND/OR LICENSES:

1. Bachelor’s Degree in library science or related field or an equivalent combination of education, training and experience.
2. State of Nebraska library accreditation certificate, or ability to obtain certification within time frame established by the employer.
3. Previous experience with professional library service and computer/library automation systems, preferred.
4. Must possess a valid driver’s license at the time of hire.

ESSENTIAL PHYSICAL DEMANDS AND TYPICAL WORKING CONDITIONS:

Work is generally performed indoors in an office setting and requires routine bending, lifting and carrying office supplies, library books and other materials. The incumbent is required to frequently sit for extended periods of time, talk, hear and must have the ability to transport themselves to and from various locations within the city library. Hand-eye coordination is necessary to operate computers and various other pieces of equipment. While performing the duties, the incumbent is required to use hands to finger, handle, feel or operate objects, tools or controls and to reach with hands and arms. The work environment is generally indoors, with work hours occasionally required in time of darkness. Vision abilities required include close vision and the ability to adjust focus. The noise level is usually quiet or moderate, but may be intense depending upon the scheduled activity.

Work requires extensive interaction with the general public and may be stressful when dealing with citizens and/or meeting deadlines.
