Automotive Assistant Office Manager
The Lee Auto Malls in Auburn is seeking an Automotive Assistant Office Manager for our high-volume, fast-paced Business Office. As the Automotive Assistant Office Manager, you are responsible for the general oversight of the day-to-day functions within the dealership accounting office and management of office staff in order to keep the office running smoothly.
Responsibilities Include:
- Maintain daily office operations including:
- Work closely with the Office Manager in hiring high performing administrative staff
- Provide administrative staff the necessary tools, training, and coaching to effectively perform their job duties
- Evaluate and make improvements to administrative job duties as needed
- Implement and manage employee recognition programs, office events, and wellbeing programs
- Schedule administration time off, coverage of sick and vacation time
- Work with and oversee the flow of all areas within the office including:
- Maintain vehicle deal paperwork and schedules
- Process Gap and Warranty cancellations and refunds
- GL schedule review, maintenance and reconciliations
- Assist in month-end accounting processing
- Assist in completion of annual review/audit
- Pay vendor invoices, including purchase order approvals
- Post and review vendor, customer and miscellaneous receivables
- Post and review intercompany inventory billings
- Track and order office supplies and equipment
Qualifications:
- 4+ years of accounting experience; dealership experience preferred
- Bachelors degree in related field or equivalent combination of education, experience and training that provides the required knowledge and skills
- Ability to lead a collaborative team
- Strong communication skills
- Excellent interpersonal skills
- Highly organized and strong attention to detail
- Strong problem solving and analytical skills
- Proficient with Microsoft 365 Suite
