General Description
Performs complex data control work for attendance accounting information. Issues and validates campus permits. Enters absence codes and distributes 3 week, 6 week, and 9 week excessive absence reports and in-school suspension reports. Retrieves, enters, and files attendance and ARD information. Maintains current status of information used for accurate retrieval and checks source. Enters and maintains information in computerized database. Contacts substitute teachers and secretaries as needed on a daily basis. Must possess the ability to communicate and carry out oral and written instructions, work under general supervision with moderate latitude for the use of initiative and independent judgment, and work independently on clerical tasks when necessary.
Qualifications Required
- Graduation from a standard senior high school or equivalent certificate
- Minimum of 2 years successful secretarial experience
- Computer literate, preferably knowledgeable in Word, Excel and use of databases
Qualifications Desired
- Previous experience in a school office
- Experience working with deaf individuals
- Knowledge of FileMaker Pro or similar database
SIGN LANGUAGE
The applicant must have a willingness to attend sign language classes and attain a sign language proficiency level commensurate with the requirements of the job. This positions requires an applicant be able to sign at the level of ADVANCED to start as determined by the Signed Communication Proficiency Interview (SCPI).
Specific Responsibilities
- Retrieves data from and enters information into automated and manual systems.
- Compiles, researches and analyzes attendance information.
- Ensures that all attendance and other relevant information is entered correctly.
- Maintains attendance information and documentation on students.
- Inspects student attendance records for accuracy.
- Performs daily accessing and retrieval of student attendance information for users.
- Checks source documents for correctness of coding, format, and content.
- Retrieves and checks various attendance reports for accuracy.
- Prepares reports and keeps records on workflow.
- Assists in locating source of errors.
- Assists in scheduling substitutes and maintain timesheets for substitutes.
- Updates daily reports on a regular basis.
- Performs related work as assigned.
Reception and Phones (VP, E-mail, Texts)
- Receives and interprets incoming calls, texts, and emails, takes reliable messages, and routes and/or connect calls to appropriate staff.
- Responds to requests for information.

- Ability to accept and constructively use comments and suggestions regarding job responsibilities and performance as well as to follow supervisor’s directives and to maintain a professional appearance appropriate to various working situations.
