Description: The purpose of the Assistant Clinical Director (ACD) role is to help and support the Clinical Director (CD) with daily tasks in the clinic. The ACD will stand in for the CD while they are out on PTO, maternity leave, or other scheduled appointments, so staff have an individual to report to for operational and clinical needs. The ACD will learn and be trained on CD responsibilities over time to develop skills to become a CD in the future.

The ACD will have a clinical caseload of 7-9 clients and be responsible for meeting billable goals each week. This may be altered depending on the length of absence of the CD. The ACD will learn everyday responsibilities of a CD and step in when the CD is absent. ACD will meet, shadow, and assist the CD weekly to receive training on the general responsibilities listed below.

General Responsibilities: This is a list of the common duties an ACD will perform with the CD or on their own in the absence of the CD. This list is subject to change based on specific clinic needs.

  • Review and edit Program Manager (PM) authorizations (edit and provide feedback)
  • Check in with CD every morning to address schedules, concerns, interviews, etc.
  • Be able to understand and utilize the authorization grid
  • Review and edit PM behavior plans
  • Handle disciplinary issues within the building (i.e., write-ups, reviews, terminations, PIPs, etc.)
  • Understanding, overseeing, and supporting operations of the Clinical Administrator
  • Complete weekly interviews
  • Assist with scheduling decisions; ACD will slot new hires appropriately on the appropriate pod
  • Understand the new hire training expectations and schedule
  • Oversee PM's caseload and provide additional support and make clinical recommendations
  • Assists PM's with parent training on handling issues within the home environment, safety, etc.
  • Responsible for directly reporting to Regional Director when the CD is absent and there are clinical needs/issues
  • Provide training to PM on verbiage used with parent communication, both written and oral
  • Supervise Junior PM on client caseload, provide training and feedback for program goals
  • Complete 1:1 meetings with PM's and Registered Behavior Technician's (RBT)
  • Instruct weekly team meetings with PM's
  • Check in with new hires when they complete their first week of training
  • Utilize Power BI to track building utilizations, including: client attendance, weekly PM billing hours, overtime, therapy utilizations, RBT turnover, etc
  • Monitor and record keep weekly PM billable hours and submit monthly incentive bonuses to RD
  • Oversee and monitor planned and unplanned client discharges, initial assessments, and client start dates
  • Conduct initial assessments for incoming families
  • Email families updates, concerns, attendance, etc.
  • Schedule and instruct clinic meetings (as needed)
  • Create and analyze staff surveys regarding PM's performance, feedback, etc.
  • Complete RBT competencies, upload, and pay for on the BACB
  • Complete APR's for RBT's, PM's, CA's, etc.
