Purpose Statement:
The job of Bookkeeper - High School is done for the purpose/s of maintaining financial operations; ensuring revenues and expenses are within budget limits and overall financial policies, practices and/or regulations meet compliance requirements; maintaining accurate account balances; evaluating feasibility of services within budget parameters; ensuring efficient use of financial resources; and providing financial information, guidance and recommendations to building administration and Finance Department.
Essential Functions
- Analyzes and/or coordinates budget data as assigned for the purpose of resolving budget variances and evaluating compliance with district and state requirements.
- Collects fees and/or funds from all academic and athletic student events for the purpose of ensuring the accuracy and timely completion of transactions.
- Communicates with a variety of individuals and entities for the purpose of conveying and/or gathering information necessary to complete transactions and ensure compliance with established financial, legal and/or administrative requirements.
- Compiles financial information related to school site for the purpose of providing required documentation and/or processing information.
- Deposits funds collected for the purpose of receiving and documenting money in compliance with district and state rules, guidelines and statutes.
- Maintains a variety of financial information, files and records for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
- Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or financial practices are followed.
- Participates in meetings, seminars and workshops for the purpose of conveying and/or gathering information, developing knowledge required to perform job functions and meet district objectives.
- Performs general clerical functions for the purpose of supporting site activities.
- Prepares a variety of written and electronic materials for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes financial information for the purpose of updating and distributing information, authorizing for action and/or complying with established accounting practices.
- Reconciles financial information for the purpose of maintaining accurate account balances and ensuring compliance with established policies, practices and/or regulations.
- Requests quotations for the purpose of providing cost information, purchasing and securing items.
- Researches and resolves discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing for action.
- Responds to inquiries from a variety of internal and external parties for the purpose of providing information, direction and/or referral for addressing inquiry.
- Transports money for the purpose of having the proper funds available and distributed appropriately.
Other Functions
- Directs student workers for the purpose of guiding and monitoring their activities.
- Performs other duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: utilizing pertinent software applications; preparing and maintaining accurate records; and performing standard bookkeeping/accounting procedures.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: bookkeeping/accounting principals and practices; methods and practices of office operations; and basic computer applications.
ABILITY is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing a variety of complex processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; meeting deadlines and schedules; working with constant interruptions; adhering to district policies; and regular attendance except when taking approved leave.
Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; tracking budget expenditures. Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
