Role Responsibilities:

The Business Support Administrator’s overall responsibilities will be to provide administrative support for Philadelphia professional staff and general office administration. This is a full-time, in-office position. The ideal candidate will possess strong critical thinking skills, keen attention to detail, a professional demeanor, discretion, and excellent interpersonal and organizational skills, including the ability to work well with all levels of the HKA teams, as well as outside clients and vendors. We are looking for someone with stable work experience, preferably in office administration, who can work overtime as needed and is committed to providing excellent customer service.

    • Provide administrative support for multiple partners. Typical support duties include:
      • Time and expense entry
      • Calendar management
      • Complex business travel arrangements
      • Meeting coordination
      • Project support including binder preparation, document preparation, and scan/copy/print jobs
      • Project administration and client contract management within ERP systems, including forms required for conflict checks and engagement commencement
      • Other tasks as required/requested
    • Assist with general office administration. Typical responsibilities include:
      • Shipping and receiving of all parcels through FedEx/UPS/US Mail
      • Assisting with office meeting planning and event coordination, including ordering lunches
      • Ordering, maintaining, and organizing office supplies
      • Coordinating with building for facilities maintenance
      • Maintaining the kitchen, conference rooms, and communal office spaces
      • Assist Functional groups within the Philadelphia office with administrative tasks as needed
    • Assist with client invoicing as required/requested

Skills and Experience:

Ideally you will possess the following skills and experience:

    • Minimum of 3 years of administrative support experience
    • Ability to work in the Philadelphia office daily
    • Strong customer service skills
    • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    • Outstanding communication skills
    • Ability to problem solve
    • Excellent time management skills and the ability to prioritize work from multiple supervisors
    • Ability to work collaboratively and effectively with the administrative personnel across the firm
    • Strong attention to detail
    • Organization skills and management of processes
    • Experience with ERP systems (e.g., Deltek Vantagepoint CRM and/or Accounting) a plus
