Job description
- Greets public, staff, students, parents, vendors, etc. for the purpose of responding to their inquiries, and directing or escorting individuals to the appropriate personnel with established building security procedures.
- Answers multi-line telephone system for the purpose of screening calls, transferring calls, and/or taking messages.
- Coordinates assigned activities (e.g. meeting room scheduling, etc.) for the purpose of delivering services in conformance to established guidelines.
- Distributes mail, messages, and other items within the site for the purpose of disseminating materials to appropriate parties.
- Maintains reception area materials for the purpose of providing resource information to visitors.
- Performs general clerical functions (e.g. scheduling, copying, faxing, scanning, filing, document preparation, mailing, etc.) for the purpose of providing assistance to Central Administration personnel as needed.
- Receives a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.
- Coordinate Senior Citizens/ passes (database/mail passes)
- Update personnel database for directory annually
- Update the GBHS Alumni database and coordinate newsletter mailings
- Perform and maintain building volunteer background checks/assist Personnel with fingerprints
- Coordinates annual United Way Fundraiser
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- Evidence of excellent attendance record
- Ability to work independently
- Organized, efficient and possess good interpersonal skills
- Basic computer skills (e-mail, word processing, data entry, scanning, electronic filing, etc.)
- Familiar with Microsoft Office (Word, Excel, etc.)
- Experience with Schools Open preferred
- Specific ability-based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy.
