The Chief of Staff (COS) is the primary senior advisor to help the Graduate Dean/Vice Chancellor of Student Academic Affairs determine, articulate, and execute the mission, vision, and strategies of the organization. The COS works closely with the Dean/VP to increase the bandwidth and velocity of the Dean/VP, who must concentrate their time, effort, and priorities on strategic activities. The COS is responsible for all change management within this organization of 120 staff and for oversight of the staff’s relationships with faculty and administrators in all of UCSF's professional and graduate degree programs, and with staff in related service units. The COS is a resident inhouse resource and helps increase the practical experience of the senior leadership team, as well as their individual abilities to deliver expected results. The COS is the liaison for matters of importance pertaining to the Dean/VP's office; assumes responsibility for filtering projects; responds to internal and external requests; serves in an advisory capacity for fiscal matters; and coordinates the activities and initiatives in the operational and programmatic areas of the organization. The COS provides staff supervision, budget and resource management, and strategic planning.

Department Description

The UCSF Graduate Division is home to 1,600 students enrolled in 31 degree programs and 1,100 postdoctoral scholars working in labs and departments all across campus. They conduct research in the basic, translational, clinical, social, and populational sciences. The Graduate Division strives to foster the highest quality of graduate education and postdoctoral training; to help graduate programs grow and evolve to meet the changing demands of science and needs of society; and to ensure that every graduate student and postdoc at UCSF can look forward to a meaningful and fulfilling career.

Student Academic Affairs (SAA) at UCSF provides UCSF’s 3,100 students with the services and resources they need to be successful at UCSF and to enter their desired careers when they leave UCSF. It also offers a wide range of vital services to support our faculty in creating the optimal environment for learning and professional development. SAA has 19 functional units that collaborate to provide academic, personal, and professional development resources from financial aid to mental health counseling, and from classroom learning resources to career planning workshops.

Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training
  • 10 or more years of related experience of increasingly responsible senior level work in a large, complex organization
  • Demonstrated ability to engage organizational-, people- and project-management using approaches that demonstrate a high level of familiarity with DEI best practices.
  • Excellent critical thinking and problem-solving skills, using logic and reasoning to identify strengths and weaknesses and have the ability to seek alternative solutions, conclusions, and approaches to problems
  • Flexible approach to work, including the ability to function effectively in a deadline driven environment, to adapt to constantly changing priorities, and to work either independently or with detailed, specific instructions, depending on the project or circumstance
  • Excellent verbal and written communication skills
  • Highly collaborative orientation, with outstanding diplomacy, analytical and organizational skills
  • Keen judgment and emotional intelligence
  • Successful track record of achieving results through persuasion and collaboration rather than explicit reporting relationship
  • Ability to manage significant amounts of detail
  • Highly organized with a successful track record managing multiple diverse tasks and complex projects simultaneously
  • Must exercise discretion, sound judgment, and the highest professional ethics
  • Sensitivity and orientation to identify systemic issues
  • Ability to weigh issues in an unbiased manner
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel

Preferred Qualifications

  • Advanced degree preferred
  • 7-10 years direct supervisory/managerial experience
  • Minimum of 5 years financial management experience
  • Knowledge of UC policies and procedure
