Who We Are
The Greater Valley YMCA (GVYMCA or GVY) is a volunteer-led, nonprofit, community organization. The Y is committed to strengthening community by positively changing lives every day. At each of our branches, we concentrate our efforts on three areas: Healthy Living, Youth Development, and Social Responsibility. And we do so in a way that upholds the Y’s traditional family values of Respect, Responsibility, Caring, and Honesty.
For over 100 years, the Y has made tangible differences in the communities of Allentown, Bethlehem, Catasauqua, Easton, Forks, Nazareth, those comprising the Slate Belt region and the Lehigh Valley as a whole. Founded as individual YMCAs as early as 1897, the following branches of the Greater Valley Y merged together between 2010 and 2015: the Nazareth YMCA, the Suburban North Family YMCA, the Family YMCA of Easton, Phillipsburg & Vicinity and the Bethlehem YMCA. In 2014, the Forks YMCA Education Center was established. The Slate Belt branch was opened in 2015. In January 2017, the Allentown YMCA joined the Greater Valley YMCA.

What We Are Looking For
We are looking for a dynamic individual that desires a role where they can help make an impact on the future of children. The individual must have the ability to work independently, strong communication skills, relationship-building, attention to detail, and problem-solving skills. This role must be able to provide outstanding customer service and maintain a positive informative working relationship with participants, members, and staff. This role is crucial in the function of childcare for the Association and will help maintain financial controls and provide support to Finance and Operations.
A Day in the Life as a Childcare Billing Registrar
Under the guidance and supervision of the Vice President of Childcare and CFO, the Childcare Billing Registrar is responsible for managing the childcare family accounts. You will provide essential registration, processing childcare payments, scholarship awards, attendance, subsidy reporting, billing, accounts receivable and administrative support. You will also generate reports and analyses for management that accurately reflect financial activity, while helping to maintain financial controls and provide support to Finance and Operations.
Responsibilities As a Childcare Billing Registrar
- Acts as the childcare and camp enrollment coordinator
- Understands third-party enrollment procedures
- Acts as the Collections Coordinator for all Camp, & Childcare activities
- Prepares and submits third-party billing
- Helps establish and maintain policies and procedures to ensure all third-party billing is accurate and agency requirements are met
- Maintains analysis of amounts owed and follows up with agencies to ensure proper payments are received
- Oversees the Organizational Childcare Registrations
- Oversees the Organizational Camp Registrations
- Assists in the month-end closing process, including generating analyses, and required journal entries, so that financial statements accurately reflect activity
- Assists with grant reporting
- Reviews system credit account to ensure transactions are being properly recorded
- Approves refunds
- Assists with the year-end audit
- Assists with the budget process especially in the Childcare and Camp programs
- Consistently looks for ways to improve systems and controls
- Builds effective, authentic relationships with members
- Facilitates member-to-member and staff-to-member relationships; fostering a sense of community
- Attends trainings, and organizational and staff meetings as requested by supervisor
- Follows YMCA Human Resources & Risk Management policies, chain of command, and procedures of the institution.

Expected Hours Per Week
- Full-time exempt
- 40.00 hours minimum weekly
- Monday through Friday
Pay Range
- $40,000 to $43,000 per year
Where You Would Be Working
- This is a hybrid role with the physical location being 2132 S. 12th St, Ste. 201, Allentown, PA 18103
Requirements
- Associate degree preferred or equivalent combination of education, training, and experience
- Two (2) years or more of job experience as a registrar or similar
- Ability to work independently or under direct supervision, strong organizational, and communication skills
- Excellent in Prioritizing and Multi-tasking Job Functions
- Excellent Problem-solving skills
- Proficient in Google Forms and Mail
- Proficient in the use of Microsoft Excel and Word
- Ability to respond to emergency situations
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community
- Within ninety (90) days of hire must complete Child Abuse Prevention for Supervisory Staff; Working with Program Volunteers; CPR; First Aid; AED; Bloodborne Pathogens; Mandated Reporter and DHS Health and Safety
- Fulfillment of state-specific hiring standards (if any) and completion of YMCA program-specific certifications

- Bi-lingual English/Spanish preferred, but not required
