The Church Administrator must have strong skills in the following areas:

Reception (both telephone and in-person)
Building Utilization and Scheduling
Print Communication - All Phases
Record Keeping and Filing
Frequent use of all programs in Microsoft Office Suite

SPECIFIC RESPONSIBILITIES

WITH PASTOR AND STAFF

· Provide organizational and administrative support to the Pastor with strong adherence to confidentiality, timelines, and accuracy.

· Screen all incoming calls

· In consultation with Pastor and Music Director, prepare, publish, copy, collate, and fold bulletins for weekly worship services. (Collation and folding may be done with a team of volunteers, if desired. Recruitment and training of volunteers will be the responsibility of the Administrative Assistant.)

· In consultation with chair of the Worship Committee, coordinate volunteers for worship tasks (ushers, readers, and occasional “other” servers)

· Determine which correspondences need to be seen by Pastor; either respond to, refer, or dispose of all others.

· Serve as the main point of contact with the Pastor in his/her absence.

· Assist in tracking pastoral care needs of church members inasmuch as they are shared, and confer with Pastor regarding same.

WITH THE BROADER CHURCH

· Direct a productive, positive, efficient, and professional church office.

· Respond to “walk-ins,” using discretion as to who can be dealt with directly, and who needs to be referred to Pastor

· Field calls regarding Building Use, gather information, refer to Administration and Finance Committee, and be the church’s chief liaison with Building Users.

· Maintain a list of who has church keys, in consultation with A & F Committee.

· Maintain a calendar for all activities in the building.

· Edit, publish, copy, and mail newsletter before the first of each month.

· Pick up and distribute mail each day. (Mail is delivered to the front door.)

· Review all bills regarding office supplies, confirm that request for reimbursement is prepared, and send it with invoice to Treasurer for payment.

· Keep membership records current: Baptisms, Weddings, Deaths, Membership (additions and deletions), directory, email lists, birthdays, and anniversaries.

· Acknowledge memorial contributions.

· Acknowledge all contributions $250 or more, if they cross your desk.

· Keep office supplies stocked.

· Consult with committee chairs to determine appropriate level of support for each.

· Collect, copy, collate, and distribute materials for Consistory meetings.

· File minutes and other records of committees as they are supplied.

WITH THE COMMUNITY

· Work with Marketing Committee to keep website up to date.

· Work with Pastor to create promotional materials for church events and projects

· Prepare and distribute news releases to a database of contacts

· Ensure that church activities are broadcast as widely as possible to local and regional calendars, bulletin boards, etc.

· Develop relationships with local media outlets and maintain current contact information

WORKING CONDITIONS

· Must be comfortable working alone in the facility.

· Routine job responsibilities require frequent physical demands

· Must be able to lift a minimum of ten pounds.

· Office hours are Monday to Friday (except for days as defined in the Employee Handbook), 9:00 a.m. to 1:00 or 2:00 p.m.

ACCOUNTABILITY

· This position is non-exempt.

· This position is at-will.

· The Pastor is the immediate Supervisor.

· United Reformed Church contracts with People Management, Inc., (PMI) for HR support.

Job Type: Part-time

Pay: $19.00 - $21.00 per hour
