This opportunity is for a part-time Clerical worker to provide support in the Bedford Clinical Services Unit Office. Duties include processing letters and discharges, proofreading, answering phone calls, making reminder phone calls, filing, and scanning. DESCRIPTION OF WORK

This position performs clerical functions in the Bedford Clinical Services Unit (CSU). Perform office duties and process notification letters, discharges, initial evaluations, reports, computerized spreadsheets, memorandums, and reports from dictated sources, handwritten drafts, or original source documents into draft or final form. Copy correspondence and distribute to individuals both inside the Agency and outside the Agency. Proofread reports to ensure information is complete, consistent, and adheres to agency rules and regulations. Review and print any final document and obtain appropriate signatures. Facilitate doctor’s workdays as scheduled. Schedule new doctor appointments, handle cancellations, and reschedule appointments. Handle medication related information. Review and ensure consumer charts contain current consent forms, ROI’s and signed current treatment plans. Review the need for updated treatment plans and inform staff. Assist in preparing paperwork for referrals to CSU or other areas of agency as needed. Print daily doctor schedule. Ensure that encounter forms are signed by consumers for outpatient visits. Review and verify consumer registration including address changes in the EMR. Prepare files for letters to be mailed to Primary Care Physician, etc. Answer phone for Clinical Director, therapists, and direct calls to appropriate staff or take messages. Make reminder calls each day for doctor’s consumers and daily review clinical appointment phone log to address and reschedule cancelled appointments. Screen calls from consumers regarding medications. Serves as receptionist greeting clients and visitors. File and scan correspondence, reports, etc. Maintain forms used by all MH departments, determine supply need, and prepare purchase requests to replenish supply as needed. Assist in training interns and new employees to familiarize them with the file room and provide training on various tasks when requested. Use the Evolv computer system in order to look up insurance, financial data, etc. Verify insurance information and ensure completion of insurance authorization forms. Assist outpatient nurses with management of appointments which includes but is not limited to scheduling, faxing of documents, completion of ROI’s, compiling of reports, collection of information, and coordination of medication requests and/or distribution of received prescriptions. Provide back-up coverage to receptionist and other medical secretaries and programs as needed. Perform other related duties as assigned.


Work Schedule and Additional Information:
  • Part-time employment.
  • Work hours are 8:00 am to 5:00 pm, Monday - Friday; 15 - 24 hours/week.
  • On occasion, staff may need to work hours outside of the set work week to complete projects, meet work demands or in the event of an emergency.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerk 1 and educational development to the level of the eighth grade; or
  • Completion of a high school business curriculum; or
  • Any equivalent experience and/or training which provided the required knowledges and abilities.
