Pay Range: Starting salary at $38,700, pay increase contingent upon meeting performance goals with ending pay of $41,000 per year
ACCOUNTABLE TO: Fremont County Emergency Management Coordinator
PRIMARY OBJECTIVES OF POSITION:
Provide administrative support by performing clerical and administrative tasks for the Fremont
County Emergency Management Agency. This position reports directly to the Coordinator.
This is a full time position with benefits. This position requires passing an employment background check.
MAJOR AREAS OF RESPONSIBILITY AND PERFORMANCE:
Administrative Assistant duties to include, but are not limited to:
- Greet and assist office visitors
- Assist visitors and callers with appropriate and accurate information
- Correspondence
- Filing
- Update office equipment (computers) on weekly basis
- Prepare county identification cards
- Inventory: emergency supplies; office supplies; equipment
- Order necessary equipment and supplies
- Make travel arrangements
- Assist coordinator in maintaining an accurate list of county emergency resources
- Present public education on emergency preparedness (attend events; speak to public).
- Prepare and present effective material for media, community organizations and the public
- Assist coordinator with class preparation
- Coordinate with private sector stakeholders to develop emergency operation plans and capabilities in support of local government plans when requested
- Assist in developing and documenting exercises for private sector, emergency response agencies, municipalities and agencies requesting assistance in these areas
- Assist with a position in an Emergency Operation Center by providing support to key officials who direct and control operations during an emergency or event
- Continuously maintain and update a list of human resources available, key personnel contact information and all emergency notification procedures.
- May be required to assist elected officials through proper protocol steps in asking for assistance from other agencies in the absence of the Coordinator.
- Must be able to lift up to 50 lbs.
EDUCATION, TRAINING AND EXPERIENCE QUALIFICATIONS:
- High School diploma or equivalent
- Proficient written and verbal communications skills
- General office operations background
- Excellent computer skills (spreadsheets; Microsoft Office; Excel)
- Ability to learn other industry, web-based programs
- Know, or the ability to learn and use social media tools (Facebook, Twitter, etc.)
- Ability to take and transcribe meeting minutes
- Must have a valid Wyoming Drivers License and personal vehicle
- National Incident Management System/Incident Command System and FEMA
Professional Series compliant preferred, or the ability/willingness to become so
- Maintains and applies a thorough knowledge of hazards that are common to
Fremont County.
ADDITIONAL REQUIREMENTS
Will be required to learn the Fremont County Emergency Management Coordinator’s basic duties and be able to fulfill those duties if the situation requires it (including, but not limited to:
FEMA Grant tracking and reports; Wyoming Office of Homeland Security reports –
THIRA/SPR, After Action Reports, Emergency Operations Plan and Mitigation Plan.)
May be required to function under poor conditions (i.e., in an emergency environment for unspecified amounts of time.) Have, or obtain, the means to sleep in such an environment (tent, sleeping bag, etc.)
May be required to travel by yourself.
Properly represent the Fremont County Emergency Management Agency, the Coordinator and Fremont County Government at all times when working with the public.
The ability to work well in a constantly changing environment.
