Overview:
Note: This position is Hybrid, Pearl River, NY

The primary role of the Systems & Operations Assistant is to support the Digital Collective in billing and system processes within MediaOcean, Peoplesoft, and Doubleclick Campaign Manager. The Systems & Operations Assistant is an integral part of the group, assisting all buyers with timely invoice reconciliation and system support. The ideal candidate has an ability to multi-task, passion for new technology as well as media channels, and eagerness to learn and grow within the Digital Collective.

Responsibilities:
Support Billing Process for Digital Team
Take lead on billing each month to ensure it is completed in a timely fashion
Coordinate with agencies and third party reporting to confirm billing totals at the beginning of each month
Reach out to vendors at the beginning of the month to request invoices
Reconcile invoices within MediaOcean platform
Generate billing packets and send to finance for client invoice creation
Perform credits / rebills as needed with proper documentation
Troubleshoot invoice discrepancies with buyers and assistants
Send requests for cash contracts to be set up in Peoplesoft to the Billing Director
Make sure all jobs are executed
Campaign Stewardship
Coordinate with buyers and assistants to confirm P&L information
Enter new buys into MediaOcean platform as needed
Liaison with client development and sales to confirm contract numbers and bill to / ship to addresses for new campaigns
Work with operations team to create new clients and vendors in MediaOcean platform as needed
Update campaigns in MediaOcean platform based on optimizations or revisions
Support Private Marketplace (PMP) Process
If not already in the system, provide publisher information to Finance in order to create a customer and contract into the system in order to initiate billing.
Communicate with PMP partners to align on monthly billables
Update PMP data in IPOWS on a monthly basis
Work with programmatic team to set up new partners
Generate billing packets for PMP each month
Work with Finance to help to receive payment and ensure payments are applied to the correct invoices. Address discrepancies and correct billing if needed.
Partner with Finance to ensure client rebates, vendor payments, trade credits and trade is properly processed.
Support the creation and curation of Vendor Deal IDs for new campaigns
Ensure vendor reporting is updated in Datorama on a daily basis
Facilitate Ad Serving Requests
Generate ad tags within Doubleclick for necessary campaigns
Update tracking tags to verify data is passing through to ad server correctly
Troubleshoot tag issues

Supervisory Responsibilities
This position does not have any direct supervisory responsibilities.

The salary for this position is $45,000. The successful candidate’s salary will depend on actual ranges of current employees in the subject position, market considerations, budgetary considerations, geography, as well as the candidate’s skill set, level of experience, and qualifications. Qualifications:
Bachelor’s degree or equivalent experience is required.

Familiar with the following tools is a plus:
Doubleclick Campaign Manager, Spectra, Peoplesoft, Datorama
Intermediate level knowledge of Microsoft Excel, Word and Outlook required.
Ability to thrive in a fast-paced environment, managing multiple projects and tight deadlines
