Summary
This position is an individual contributor and must be onsite in our Chicago office. The Knowledge Resources Director (the “Director”) is responsible for managing the intellectual assets and information architecture for a global consulting firm providing fundraising counsel to nonprofit organizations. The Director will archive and access presentations, proposals and project reports in a document management and storage platform (Microsoft SharePoint), conduct reference research, architect solutions for information sharing within SharePoint, and assist with formulating firm policies and best practices around content and archives management. The Director will provide onboarding and ongoing training for all staff on various topics relating to document best practices, external databases, and SharePoint. The Director reports to the Vice President, Consulting Resources.

Records Management and Reference
- Within the SharePoint environment, capture, organize, archive, index, and make accessible the knowledge resources of the firm, including internal work products (client files, resource materials, proposals, reports, correspondence, etc.), industry materials, competitive intelligence information, files on philanthropy, and related documentation
- Supervise the management and digital storage of the firm’s records (past project deliverables, internal and third-party industry research, and other documents) and leverage them to enhance client service projects, cultivate professional practice, and inform decision making
- Oversee related records, archives, and document policies. Communicate best practices around document management.
- Maintain document management best practices and update as appropriate
- Respond to reference requests from consultants and other staff using SharePoint and client archives, as well as publicly available resources
- Summarize research for consultants in a variety of formats, from bibliographies to short-form literature reviews
- Contribute data collection and research to publications and firm intelligence
- Maintain industry awareness and capture pertinent third-party research and data
- Foster a culture of knowledge sharing and collaboration across the firm, including regular distribution of weekly news updates and industry transition reports
- Effectively collaborate with Marketing, Business Development, and Consulting Resources teams in creating databases supporting client deliverables
Information Architect and Document Management & Storage Solution
- Work with various internal groups and departments to organize and access content (i.e. documents, data sets) and develop appropriate departmental taxonomies
- Manage the SharePoint governance team to maintain, organize, and update SharePoint sites
- Perform leading technology evaluations, including usability concept testing and analytics
- Develop project roadmaps and visioning
- Translate end-user concerns into solution specifications and help define and implement design goals as part of a team
- Maintain refined document management and storage environment and update when appropriate
- Design and develop MS Forms, custom workflows, and integrate other MS tools as appropriate
Education and Experience
- 3 years of relevant experience required
- Master’s degree required, preferably in library and information science or a related field
- Experience with Microsoft SharePoint or similar document management system required
- Advanced Proficiency in Microsoft Word, PowerPoint, Excel, and Visio
- Familiarity with best practices related to UX/UD and responsive design
- Visual design skills, proficiency with Adobe Creative Suite, or other industry software preferred
- Experience building and using sites in SharePoint Modern a plus
- Familiarity with front-end development: HTML, CSS, Javascript, and SQL a plus
- Familiarity with archival standards and best practices
- Familiarity with document tagging, taxonomies, managed metadata
- Understanding of application development in a cloud hosting model and architecture implementation
