Director of Admissions
Job description
Assist the Director of Admissions with developing and implementing short term and long-range marketing plans, tactical programs, and an integrated messaging strategy that will elevate the visibility and profile of Immaculate consistent with its strategic plan and enrollment objectives.
Under the supervision of the Director of Admissions and Enrollment Management, this position designs clear and effective communications that invite parents, teachers and staff, student ambassadors, Board of Directors, volunteers, and community leaders to understand and appreciate the Immaculate experience, while ensuring brand identity, messaging coherence, and consistency across all channels.
Under the supervision of the Director of Admissions and Enrollment Management, the Assistant Director of Admissions, is expected to have a strong ability to build and write content for defined written communications, advertising, and social media platforms; assist with managing planned events; collaborate with the school’s editor/writer for press releases and feature stories; coordinate schedules with teachers, prospective and student ambassadors; maintain effective timely verbal and written communications with prospective parents and the school’s communications team; and, be able to demonstrate enthusiasm for Immaculate and for telling its story at public venues.
Essential Duties and Responsibilities
Strategic Communications
In collaboration with the Director of Admissions, designs and implements internal/external marketing/communications plans to deepen constituent understanding of the school, its educational philosophy, and strategic objectives by listening attentively to and communicating effectively and authentically with the school community. Utilizing Immaculate’s CRM, implement and manage communication workflows for all changes in status and relevant communications with prospective students and applicants from inquiry to enrollment.
Collaborates as needed with the Communications Department, Counseling Department, Director of Admissions and Enrollment Management, School President and other administrators and volunteer leaders to create and edit appropriate communications for final product presentation to the Director of Admissions of Enrollment and Management.
Under the supervision of the Director of Admissions and Enrollment Management, implements marketing plan efforts, managing and elevating the school's brand through strategic planning, market insight, trend analysis, data-driven strategies, and feedback from constituencies. Knowledge of social media data, digital marketing best practices and marketing analysis is necessary.
Participates and attends all Admissions events, manages Student Ambassador programs including scheduling and working with assigning student ambassadors for Mustang for A Day and fulfills any admissions event or family tours as assigned by the Director of Admissions and Enrollment Management.
Print and Digital Communications
Partners with Director of Admissions and Enrollment Management and, as needed, the school’s Communications Department to create powerful professional materials that convey the unique strengths of Immaculate to current and prospective families and assists with attracting students/families who are mission-aligned by bringing to life the Immaculate “story” and leveraging the school’s value proposition in service of enrollment objectives.
Required to take an independent lead role throughout the production cycle of admissions print and media materials that will educate the community to strengthen engagement and assist the school in meeting its enrollment goals. All material content and production are created cooperatively under the supervision of the Director of Admissions and Enrollment Management.
Oversees and is the liaison for initial parent inquiry communication, services for admissions publications, and is the author of weekly newsletters. Manages and coordinates relevant outside vendors and consultants.
General Communications
Assists the Director of Admissions and Enrollment Management with meeting communication and marketing goals through robust and vibrant Parent and Student Ambassador programs.
Initiate draft content updates used for web content and images.
Assist with planning, communicating, and obtaining feedback on Admissions events including but not limited to Open House, HSPT testing, Spring Preview Day, Orientation
Assist with creating an Admissions events communications calendar.
Attends meetings and events, which may be scheduled on evenings and weekends, and maintains a presence in and awareness of the day-to-day life of the school.
Manage the coordination of Mustang for A Day Program to match guest students with current students, as well as follow-up communication with parents.
Manage telephone calls and emails to prospective parents as deemed necessary by the Director of Admissions.
Communicate in a timely manner with the school’s Administrative Assistant any requests for other administrative support (name tags, other) needed for a scheduled Admissions event.

BA in relevant major and 3-5 years progressive experience.
A vision for effective communications and marketing for an independent school and an ability to think strategically about school communications and messaging.
Outstanding professional oral presentation and communication skills.
Outstanding written communication and editing skills.
Strong photography skills, graphic design skills (Canva and Adobe InDesign) and ability to draft video scripting is necessary.
Excellent interpersonal skills: the ability to work collaboratively and proactively with the School’s diverse and inclusive community to advance the mission of the School.
Strong organizational skills with the ability to prioritize multiple projects; able to initiate, anticipate, and follow through on multiple projects with firm deadlines.
Ability to work independently and monitor success of the marketing tactics.
Proclivity to approach projects with an improvement-oriented critical eye and desire to learn and grow as a professional.
Creative, flexible, able to adapt quickly, optimistic, energetic, self-starting, possesses a professional sense of humor and strong customer service skills, along with the ability, to connect authentically with diverse constituents, including students.
Technology Skills
To perform the job successfully, an individual should have a working knowledge of Google Suite and comfort in participating in webinars.
