the work of engineering staff to ensure safe and efficient operations of the Harbor View Hotel and other properties in Martha’s Vineyard. This position will operate mainly out of the Boston/Cambridge/Somerville locations, with some travel to Martha’s Vineyard, MA.
The main goals for the Director of Engineering (Facilities) will be:
- To improve regular maintenance practices and set up reliable SOP's (Standard Operating Procedures) which will improve client/guest satisfaction and prolong the life expectancy of the properties' systems.
- To improve overall cost of equipment preventive maintenance and repair.
Responsibilities:
- Manage and supervise all maintenance/engineering staff at properties noted above, and others that may become added to the portfolio.
- Recruit, hire and train maintenance/engineering staff at properties noted above, and others that may become added to the portfolio.
- Maintain, repair and monitor for optimal use all building systems including mechanical, electrical, plumbing, life-safety and HVAC systems for all properties in the portfolio. This shall include: the development of scope of work and specifications for repair, maintenance, and replacement; the bidding of projects and contracts, always leveraging the portfolio’s size and scale to procure the most competitive pricing and highest quality service; the oversight and coordination of all technical service providers, vendors, and contractors; and the monitoring of quality control.
- Participate in weekly Operations Meetings as required.
- Review existing equipment lists and Preventative Maintenance contracts and schedules, make recommendations.
- Advise on Preventative Maintenance protocols, schedule, responsibilities matrix and oversee execution of PM program.
- Complete all required maintenance tasks on work order system (Building Engines) as part of a preventive and corrective maintenance programs.
- Perform administrative work control functions.
- Perform and document building rounds and mechanical room rounds.
- Create and maintain log books.
- Ensure compliance with building codes.
- Develop and implement a comprehensive life safety program, including tenant fire drills, system testing, and regulatory compliance.
- Review potential properties to assess their condition and operational needs, develop budgets, and perform other due diligence tasks.
- Review tenant construction drawings to ensure all building design requirements are met.
- Develop standards and procedures for the management of tenant construction and improvements in accordance with building rules, regulations, and best practices.
- Develop and oversee capital improvement and repair projects from assessment of condition, to scoping, budgeting, bidding, and contracting, through to completion and close-out.
- Assess systems in spaces immediately after tenants vacate for deficiencies and address them to ensure proper operation during leasing tours, showings and future occupancy.
- Assist in the development of operational and capital budgets for all properties.
- Develop key performance indicators for operational cost-efficacy, energy efficiency, and tenant satisfaction.
- Occasional interaction with tenants related to their concerns about the building’s mechanical systems, indoor air quality, or other issues, as required.
- Troubleshoot system problems to determine repairs and complete as required.
- Perform preventive maintenance and inspections on building HVAC equipment and other building systems.
- General property upkeep and repairs (interior and exterior) to include but not limited to: light carpentry, cleaning, sweeping, etc. as needed.
- Utilize Building Engines to enter, track and close out reactive and scheduled maintenance work orders.
- Monitor building automation system and address all faults and alarms as needed.
- Assess and oversee maintenance of tools, equipment, supplies, and technologies used by the engineering team.
- Repair, replace or remove any item or situation that has the potential to create an unsafe work environment.
- Assist contractors as needed (for example - provide access to various areas within the building).
- Routine and emergency response for service calls.
- Perform other duties as assigned by Property Manager.
Required Education, Experience, Skills and Abilities:
- High school diploma or GED equivalent required.
- Bachelor’s Degree from engineering or technical school preferred.
- Refrigeration and HVAC licenses required.
- Minimum of 10 years of direct experience in the management of mechanical, electrical, and plumbing operations for commercial office buildings.
- Experience leading, managing, coaching, and training building engineering staff.
- Experience implementing policies and procedures relating to the mechanical operations, safety, code compliance, and technology utilization.
- Proven track record for monitoring and implementing energy conservation measures in a wide variety of commercial properties.
- Experience with proactively managing indoor air quality issues including water leaks and floods.
- Knowledge of codes and standards relating to Indoor air quality.
- Familiarity with the USGBC and LEED certification requirements and with Energy Star ratings and labeling requirements.
- Experience handling building emergencies such as floods, power outages, inclement weather, and fires.
- Experience with OSHA, EPA and other regulatory agency requirements including Asbestos O&M Plans and NESHAPS (National Emission Standards for Hazardous Air Pollutants) renovation requirements.
- EPA license required.
- Experience with staffing and commissioning newly acquired buildings.
- Demonstrated ability to present complex data in order to facilitate analysis and decision-making.
- Demonstrated ability to review operating and capital budgets with the ability to reduce costs and recommend ways to enhance company profitability.
- Experience with computerized building management systems, preventative maintenance and work order systems, including Building Engines.
- Proficiency in reading and interpreting drawings, schematics, and wiring diagrams.
- Understanding of and familiarity with Phase I and II environmental site assessments (ESA’s), property condition reports (PCR’s), title reports, surveys, and zoning ordinances.
- Proficiency in Microsoft Word, Excel, and Outlook is required; experience with Building Engines is a plus.
- Excellent verbal and written communication skills with ability to effectively communicate to varied audiences, e.g., partner, mid-level managers, engineers, operators, tenants.
- Must be able to lift 50 pounds as well as work in small spaces and at heights from ladders, scaffolding, etc.
- Availability after-hours, including weekends, for response to emergencies, and off-hour project completions.
- Travel within the portfolio using a personal vehicle is required.
